Job Summary:

The Sales and Logistics Coordinator Export will be the key link between the sales team, production, logistics, and international clients. This role is responsible for managing export sales orders from inquiry to dispatch, handling all commercial documentation, and ensuring timely, compliant international shipments of pharma machinery and equipment.

Key Responsibilities:

Sales Coordination:

• Handle international customer inquiries, quotations, and order confirmations
  
• Prepare and follow up on proforma invoices, sales contracts, and advance payments
  
• Coordinate with internal departments (production, accounts, QA/QC) to meet delivery schedules
  
• Maintain customer records, pricing, and order status in ERP/CRM systems
  
• Provide after-sales support and coordinate warranty/AMC services as required
  
• Support in tender participation and preparation of sales-related documentation
  
• Assist with trade shows, customer visits, and product demos as needed
  

Logistics Coordination:

• Coordinate and manage the export logistics operations including documentation, transportation, customs clearance, and insurance.
• Prepare and review shipping documentation such as commercial invoices, packing lists, certificates of origin, and export licenses.
• Select and negotiate with freight forwarders and carriers to secure competitive rates and efficient transport solutions.
• Ensure compliance with international trade regulations, export controls, and customs requirements.
• Track and monitor shipments to ensure on-time delivery and proactively resolve any logistics issues.
• Communicate effectively with internal stakeholders, suppliers, and customers regarding shipment status and logistics updates.
• Manage relationships with customs brokers and other service providers to expedite customs clearance processes.
• Optimize logistics processes to improve efficiency and reduce transportation costs.
• Develop and implement strategies for risk management and contingency planning related to export logistics.
• Maintain accurate records and documentation related to export shipments.

Skills and Qualifications:

• Bachelor's Degree in Commerce, International Business, Supply Chain, or equivalent
  
• 2-5 years of experience in export sales/logistics coordination, preferably in pharma machinery or industrial equipment
  
• Proficient in export documentation and international shipping procedures
  
• Familiar with ERP systems (SAP, Oracle, etc.) and MS Office
  
• Excellent communication, organizational, and multitasking skills
  
• Knowledge of DGFT procedures, INCOTERMS, and documentation for capital goods (e.g., Form 10, CE Marking, etc.)
  
• Understanding of mechanical/electromechanical equipment packaging and handling
  

Preferred Attributes:

• Exposure to markets in the Middle East, Africa, South Asia, or Latin America
  
• Knowledge of export incentives, EPCG license procedures, and import-export laws
  
• Ability to work under tight deadlines and manage multiple international shipments
