Job Description

The Registrar serves as the data steward and database manager for AISCs student information systems, transcripts, and post-graduate documentation. This role combines technical database management expertise with student services to ensure accurate record-keeping, efficient reporting, and seamless support for student transitions and documentation needs.
The Registrar maintains the integrity of student data systems while providing essential services for transcripts, reports, and post-graduate documentation. This role directly impacts data accuracy, student services quality, and institutional compliance with record-keeping requirements.
Duties and responsibilities of this position include but are not limited to:
  • Student Records Management

      • Manage student information systems and databases
      • Develop and maintain database protocols and procedures
      • Maintain comprehensive student information databases
      • Ensure data accuracy, security, and accessibility
      • Track and advance applications in Open Apply from Inquiry to conversion.
      • Support the Director of Enrollment to efficiently manage inquiries, school tours, and provide all necessary information to convert inquiries from a variety of channels.
      • Support orientation events.
      • Ensure platforms are synchronized and up to date (Open Apply, PowerSchool, enrollment databases, etc)
      • Generate regular reports for the Director of Enrollment Management, leadership, and internal/external stakeholders
      • Process transcript requests and academic documentation
      • Coordinate international credit transfers and university application support
      • Ensure compliance with privacy regulations and institutional policies
  • Data Analytics & Reporting

      • Generate regular reports for various stakeholders
      • Create enrollment reports and demographic analysis and dashboards for strategic planning
      • Support data-driven decision making across the school
      • Maintain reporting schedules and automated distribution systems
      • Collaborate with IT and Data and Information Systems Director on system enhancements
  • Student Services

    • Serve as primary contact for student record inquiries and documentation requests
    • Coordinate with universities and external organizations for student records and transitions
    • Assist with special projects requiring data analysis and reporting
    • Maintain academic records and historical data
    • Ensure compliance with privacy and record-keeping regulations

QUALIFICATIONS AND PROFILE

Education & Experience

  • Bachelors degree in Education, Information Systems, Business Administration, or related field
  • Minimum 3 years of experience in student records management or data systems
  • Experience with international transcripts and university placement processes
  • Demonstrated proficiency with database management, excel, and data analysis

Technical Expertise

  • Data Analytics:

    Proficiency in Excel, reporting tools, and data visualization
  • System Integration:

    Experience with multiple technology platforms and database management systems
  • Quality Control:

    Expertise in data accuracy verification and process improvement
