Job Description

Job Summary:

The Purchase & Stores Assistant will support the procurement and inventory management functions of the company. The role ensures timely procurement of materials, proper documentation, efficient stock management, and coordination with vendors, site engineers, and internal departments to maintain smooth construction operations.

Key Responsibilities:

Procurement:

  • Assist in sourcing and purchasing construction materials, tools, and equipment as per project requirements.
  • Obtain quotations from vendors and maintain records of all purchases.
  • Coordinate with suppliers to ensure timely delivery of materials.
  • Prepare and maintain purchase orders, invoices, and related documentation.
  • Follow up on pending deliveries and manage vendor relationships professionally.

Stores & Inventory Management:

  • Receive, inspect, and verify incoming materials against purchase orders.
  • Maintain organized records of stock, issue slips, and inventory reports.
  • Conduct periodic physical stock verification and reconcile with records.
  • Assist in proper storage and labeling of materials to prevent damage or loss.
  • Coordinate with site engineers to ensure availability of required materials.

Administrative & Reporting:

  • Maintain files, registers, and digital records related to purchases and stock.
  • Prepare regular reports on stock levels, procurement status, and material usage.
  • Support the Purchase/Store Manager in audits and documentation compliance.
  • Ensure adherence to company policies, safety standards, and statutory requirements.

Qualifications & Skills:

  • Diploma or Degree in Commerce, Supply Chain, Logistics, or related field.
  • 13 years of experience in procurement or stores management, preferably in construction or real estate projects.
  • Knowledge of construction materials, suppliers, and market rates is preferred.
  • Proficient in MS Office (Excel, Word) and basic inventory software.
  • Strong organizational, communication, and interpersonal skills.
  • Detail-oriented with the ability to multitask in a fast-paced environment.
