Role & responsibilities

Job Summary:

We are looking for a detail-oriented and proactive Purchase Specialist to manage procurement activities for our retail operations. The role involves vendor coordination, purchase planning, cost control, and ensuring timely availability of products while maintaining quality and budget standards.

Key Responsibilities:

Procurement & Purchasing

Plan and execute purchase orders based on sales forecasts and inventory levels

Source products and materials from approved vendors

Negotiate pricing, payment terms, and delivery schedules with suppliers

Ensure timely procurement to support store and warehouse requirements

Vendor Management:

Maintain strong relationships with existing suppliers

Identify and evaluate new vendors as per business requirements

Resolve vendor-related issues including quality, quantity, and delivery delays

Conduct periodic vendor performance reviews

Inventory & Cost Control:

Monitor stock levels and avoid overstocking or stock shortages

Coordinate with warehouse and store teams for stock movement

Ensure cost efficiency and adherence to procurement budgets

Support stock audits and inventory reconciliations

Documentation & Compliance:

Prepare and maintain purchase orders, contracts, invoices, and records

Ensure compliance with company policies and procurement procedures

Coordinate with finance team for invoice verification and payments

Reporting & Analysis:

Prepare purchase and cost reports for management review

Track market trends, pricing, and supplier performance

Support management in demand planning and procurement strategy

Required Skills & Qualifications:

Bachelors degree in Commerce, Business, Supply Chain, or related field

3–6 years of experience in purchasing or procurement (retail preferred)

Strong negotiation and vendor management skills

Good knowledge of inventory management and supply chain processes

Proficiency in MS Excel, ERP systems, and purchase documentation

Strong analytical, communication, and coordination skills

Preferred Experience:

Experience in apparel, fashion, footwear, accessories, or FMCG retail

Knowledge of local and national supplier markets

Exposure to multi-store or large-format retail operations
