Job Description

The Purchase Executive in a manufacturing company is responsible for managing the procurement of raw materials, machinery, and services necessary for the production process. Your role involves sourcing suppliers, negotiating terms, maintaining supplier relationships, and ensuring that materials are delivered on time to meet production schedules. The ideal candidate will have experience in manufacturing procurement, strong negotiation skills, and an in-depth understanding of supply chain management. Key Responsibilities: Procurement of Raw Materials & Supplies: - Identify and source suppliers for raw materials, components, and other goods required for the manufacturing process. - Ensure timely availability of materials and components for uninterrupted production, adhering to manufacturing schedules. - Maintain inventory levels of critical materials and plan for reordering to avoid stockouts or excess inventory. Supplier Management: - Develop and maintain relationships with key suppliers to ensure consistent quality, timely deliveries, and competitive pricing. - Negotiate contracts and pricing with suppliers to achieve cost-effective solutions for the business. - Regularly assess supplier performance and resolve any issues related to quality, delivery, or cost. Order Processing and Tracking: - Prepare purchase orders based on material requirements, forecasts, and production schedules. - Track and monitor purchase orders, ensuring that materials are delivered as per the agreed timelines. - Communicate effectively with suppliers to ensure timely delivery and manage any delays or issues. Inventory and Stock Management: - Work with the inventory management team to maintain optimal stock levels and avoid both excess inventory and stockouts. - Conduct regular stock audits and reconcile physical stock with records. - Ensure that warehouse staff and the purchasing team are aligned on material storage, handling, and stock rotation procedures. Cost Control and Budget Management: - Monitor procurement spending to ensure compliance with the department's budget. - Evaluate pricing from various suppliers and implement cost-saving initiatives where possible. - Analyze production costs and propose solutions for reducing material costs without compromising quality. Quality Assurance and Compliance: - Ensure that purchased materials meet the required quality standards and specifications for manufacturing. - Coordinate with the Quality Control team to address any issues regarding substandard or defective materials. - Ensure compliance with health, safety, and environmental regulations in procurement processes. Collaboration with Production and Engineering Teams: - Work closely with the production and engineering teams to understand material requirements, production plans, and any changes in product design. - Ensure the timely procurement of machinery, equipment, and spare parts required for production. - Assist in sourcing and procuring new equipment and machinery for plant expansion or upgrades. Reporting and Documentation: - Maintain detailed records of all purchase orders, contracts, supplier negotiations, and inventory levels. - Provide regular procurement reports to senior management regarding supplier performance, cost analysis, and inventory status. - Prepare and maintain supplier contracts and agreements, ensuring timely renewals and compliance with terms. Required Skills and Qualifications: Educational Background: - Bachelor's degree in Business Administration, Supply Chain Management, Engineering, or a related field. - Certifications in procurement or supply chain management (e.g., CIPS, APICS) are preferred. Experience: - 2-4 years of experience in purchasing, procurement, or supply chain management, preferably in a manufacturing environment. - Strong knowledge of raw material sourcing, inventory management, and supplier relations in manufacturing. Skills: - Proficient in using procurement and inventory management software (e.g., SAP, Oracle). - Strong negotiation, communication, and interpersonal skills. - Excellent problem-solving skills and ability to resolve conflicts effectively. - Analytical mindset with the ability to monitor procurement performance and make data-driven decisions. Personal Attributes: - Strong attention to detail and high level of accuracy in procurement processes. - Ability to work in a fast-paced, dynamic manufacturing environment. - Strong organizational skills with the ability to handle multiple tasks and priorities. - Ability to work both independently and as part of a team.
