Property Operations Coordinator

As a Property Operations Coordinator at Northwood North West London Ltd, your role is crucial in managing residential properties in London. You will work closely with the team to ensure the smooth operations and upkeep of various properties. Here is a breakdown of your responsibilities: - Assist and support the team by handling customer communication both verbally and in writing. - Maintain up-to-date property records daily. - Record and save all files, documents, and customer communication on the property software. - Schedule works and activities with contractors, and arrange access to properties. - Obtain approvals from landlords and communicate them to the team. - Follow up with contractors to submit all relevant documentation upon completion of works. - Update property records upon job completion within a unit. - Ensure timely submission of invoices to finance. - Answer phone calls and address queries promptly and professionally. - Keep records of daily department meetings (minutes of meeting). - Coordinate with contractors for property check-ins and check-outs. - Foster good working relationships with colleagues, tenants, landlords, and contractors. - Raise authorized follow-on works with contractors. - Manage all administrative tasks, including email correspondence, excel spreadsheet maintenance, and diary management via Outlook. Qualifications required for this role: - Excellent verbal and written communication skills in English. - Proficiency in MS Office, especially in Excel. - Strong customer service and retention skills. - Ability to work both independently and as part of a team. - Organized and efficient administration skills. - Strong record-keeping capability. - Natural problem-solving abilities.
