Project Manager (Language Services)

Key Responsibilities

Client Service

• Serve as the primary or backup point of contact for assigned client accounts.
• Manage client requirements, asset handling, reporting, and meeting coordination.
• Lead client presentations and post-mortem reviews.
• Address complex client queries and escalate critical issues as needed.
• Ensure client satisfaction through proactive communication and problem-solving.
• Provide regular project updates and maintain positive client relationships.

Project Management

• Plan, launch, and manage standard and complex projects, including budgeting, scheduling, and resource allocation.
• Ensure projects meet ISO quality standards and company compliance requirements.
• Identify and manage production risks and implement risk mitigation strategies.
• Handle administrative tasks such as project closures, Translation Memory updates, and documentation.
• Review and approve quotes, purchase orders, and invoices; escalate payment issues if needed.
• Analyze project financials (P&L reports) and recommend corrective actions when necessary.
• Lead the development of custom workflows and project instructions.
• Collaborate on CAPA (Corrective and Preventive Action) initiatives.

Resource Coordination

• Work with the Supply Chain to allocate the right resources for projects.
• Create and send purchase orders to vendors as necessary.
• Ensure resources have all tools and instructions needed.
• Communicate scope or schedule changes to the relevant team members.
• Provide feedback on resource performance to the Supply Chain team.

Account Development

• Support Global Account teams in improving budget efficiency and service quality.
• Forecast upcoming work volumes and alert internal teams.
• Participate in client meetings and assist with implementation of new account initiatives.

Teamwork & Leadership

• Collaborate closely with internal cross-functional teams (LXD, QA, Technical Services, etc.).
• Make process improvement recommendations to boost quality and profitability.
• Mentor junior staff and oversee task allocations when applicable.

Additional Duties

• Perform other related duties as assigned to support efficient project execution.
• Lead or participate in the implementation of new initiatives or special projects.

Knowledge, Skills & Abilities

• Strong communication skills (verbal and written) in English; foreign language proficiency is a plus.
• Ability to lead, mentor, and provide clear guidance to team members.
• Strong organizational, prioritization, and time-management skills in a fast-paced environment.
• Proficiency with project management tools, CAT tools (e.g., TRADOS), and publishing applications (e.g., InDesign, FrameMaker).
• Analytical mindset with a focus on quality, accuracy, and customer service.
• Ability to work independently with discretion and confidentiality.
• Strong interpersonal skills for cross-functional collaboration and stakeholder management.

Qualifications

• Bachelor's degree in Business, English, Foreign Language, Social or Applied Sciences, or related field.
• 35 years of experience managing projects in localization or translation services.
• At least 2 years of client-facing account or customer service experience.
• Familiarity with translation management and publishing software.
• Prior leadership or mentoring experience is preferred.
• PMP Certification is a plus.
