Project Management Officer

end-to-end execution of customer orders

Key Responsibilities

A. Order Kick-off & Planning

• Review PO, technical specifications, scope of supply, delivery terms, inspection requirements, and documentation requirements.
  
• Prepare a project/order execution plan with internal milestones (drawings, clearance, production start, inspection, dispatch, billing).
  
• Conduct internal kick-off with Design/Engineering, Production, QA/QC, Stores, and Dispatch/Logistics.
  

B. Engineering Drawings Submission & Customer Coordination

• Coordinate with

  Design/Engineering

  for preparation and submission of drawings/documents to the customer (GA drawings, SLD, wiring diagrams, BOM as applicable).
• Follow up for

  timely drawing submissions

  as per PO/customer schedule.
• Handle

  customer clarifications

  , prepare replies with internal teams, and maintain clear written communication.
• Manage

  drawing revisions

  : track comments, implement changes, maintain revision history, and ensure correct latest revision circulation.
• Obtain

  customer approval / Manufacturing Clearance

  and release the job for production.

C. Production Coordination & Schedule Control

• Coordinate with

  Production

  to align manufacturing schedule with PO delivery dates.
• Monitor progress against the plan; identify delays/risks and expedite actions through cross-functional coordination.
  
• Ensure material readiness and resolve constraints (technical queries, pending approvals, shortages, capacity issues).
  

D. Inspection & Testing (Customer / Third-Party)

• Coordinate with QA/QC for ITP, routine tests, and final checks as per customer/standard requirements.
  
• Issue

  inspection call letters

  to customers/third-party inspectors as required.
• Coordinate inspection schedules, witness tests, and closure of punch points/remarks to secure inspection clearance.
  

E. Dispatch & Documentation

• Obtain

  dispatch instructions

  from customer (delivery address, consignee, packing/marking, transporter preference, schedule).
• Coordinate packing, dispatch plan, and logistics with Dispatch/Stores/Transporter.
  
• Ensure dispatch documents are accurate and complete (packing list, invoice support docs, test certificates, inspection release, delivery challan, LR/waybill, etc., as applicable).
  

F. Billing, Payment Follow-up & Project Closure

• Prepare and submit billing documents to Finance/Accounts and/or customer as per contract terms.
  
• Follow up with customer for

  payment collection

  , resolve document discrepancies, and support AR closure.
• Close the project/order after receipt confirmation and commercial closure, including final documentation handover and internal closure in ERP.
  
• Maintain complete order records (emails, submissions, approvals, revisions, inspection reports, dispatch proofs, invoices).
  

Key Interfaces

• Internal:

  Design/Engineering, Production, QA/QC, Procurement, Stores, Dispatch/Logistics, Finance/Accounts

• External:

  Customer (engineering + commercial), consultants, third-party inspectors, transporters

Required Skills & Competencies

• Strong coordination and follow-up skills, customer communication, and documentation control.
  
• Ability to read/understand electrical drawings (GA/SLD/control wiring concepts).
  
• Planning and tracking using MS Excel (preferred: MS Project/ERP).
  
• Good command of email drafting, minutes of meeting, and revision tracking.
  

Qualification & Experience (Typical)

• BE in Electrical/Electronics (or equivalent).
  
• 2-6 years experience in order execution.
