Position Overview

The Procurement and Store Manager will be responsible for leading end-to-end procurement and inventory management activities for all campus infrastructure projects. The role involves strategic sourcing, supplier management, contract administration, and efficient store operations to ensure timely availability of materials and resources in alignment with university policies and objectives.

Key Responsibilities

1. Strategic Sourcing and Category Management

• Develop and execute category-specific sourcing strategies for Capex and MRO aligned with institutional objectives.
  
• Conduct comprehensive market research to identify new suppliers, cost-saving opportunities, and emerging technologies.
  
• Lead end-to-end sourcing processes, including RFQs, RFPs, supplier evaluations, price negotiations, and contract finalization.
  

2. Specialized Procurement

• Manage procurement for a wide range of categories including IT (hardware, software, networking), MEP, HVAC, civil works, interior fit-outs, and campus infrastructure.
  
• Handle contracts such as AMC, CAMC, and ARC for critical systems like DG sets, elevators, UPS, fire safety systems, servers, and heavy machinery.
  

3. Supplier Relationship Management

• Build and maintain strong relationships with key suppliers to ensure delivery performance, quality standards, and cost efficiency.
  
• Track supplier performance using KPIs and manage issues related to non-compliance or underperformance.
  
• Negotiate terms, pricing, and SLAs to achieve favorable agreements for the university.
  

4. Capex Procurement

• Collaborate with project and engineering teams to capture Capex requirements, timelines, and technical specifications.
  
• Source and procure high-value assets including machinery and infrastructure components for campus development and upgrades.
  

5. Contract and Risk Management

• Draft, review, and manage procurement contracts ensuring adherence to university policies and legal standards.
  
• Implement risk management strategies to ensure uninterrupted supply of critical items and reduce operational risk.
  

6. Store and Inventory Management

• Oversee all store operations, including material receipt, inspection, storage, and issuance.
  
• Maintain accurate stock records through proper documentation and ERP/system updates.
  
• Monitor inventory levels and ensure timely replenishment of critical materials.
  
• Conduct periodic audits, stock verifications, and reconciliations to maintain accuracy and minimize losses.
  
• Ensure compliance with safety, housekeeping, and material handling standards in store operations.
  

Qualifications and Experience

• Bachelors degree in Engineering, Supply Chain Management, or a related field (Masters preferred).
  
• 8–12 years of experience in procurement and store/inventory management, preferably in the construction or infrastructure domain.
  
• Strong knowledge of sourcing strategies, vendor development, and contract management.
  
• Proficiency in ERP systems and inventory management software.
