organisationalJob Description: Process Coordinator Employee Task Management & FMS
Salasar Services Insurance Brokers Pvt. Ltd.Position OverviewThe Process Coordinator will oversee and manage all internal employee task workflows and the Workflow Management System (FMS) at Salasar Services Insurance Brokers Pvt. Ltd. This role ensures timely task completion, accurate performance monitoring, and smooth coordination of FMS cycles. This position is fully internal and does not involve any client communication.Key Responsibilities1. Employee Task Completion Process- Monitor and track daily, weekly, monthly, quarterly, and annual employee tasks.- Update task status on Clapgrow or internal task management systems.- Follow up with employees to ensure timely task completion.- Identify delays and escalate unresolved tasks to reporting managers.- Maintain and update internal dashboards for task progress.- Generate task completion reports for management.- Ensure all task-related documentation is updated and archived correctly.2. Work-flow Management System (FMS) Coordination- Manage end-to-end FMS cycles, including goal-setting, mid-cycle reviews, and final evaluations.- Ensure timely FMS updates and submissions by employees.- Coordinate with team leads and managers for review completion.- Maintain KPIs and update department-wise targets in the FMS system.- Prepare performance scorecards and consolidated reports for HR and management.- Ensure adherence to FMS timelines and follow up on missing entries.- Highlight gaps and coordinate corrections in FMS submissions.3. Reporting & Documentation- Prepare MIS reports for task statistics and performance trends.- Maintain employee-wise and department-wise performance documentation.- Update FMS records, appraisal forms, and evaluation sheets.- Create dashboards for management review.4. Internal Coordination & Communication- Communicate task timelines, FMS deadlines, and performance instructions.- Coordinate with department heads regarding pending tasks or FMS issues.- Send reminders for overdue tasks and incomplete FMS submissions.- Support HR in appraisal cycles and performance review meetings.Periodic Responsibilities

Daily
- Track and update daily employee tasks.- Send reminders for pending or overdue assignments.- Maintain daily task dashboards.- Share daily progress reports with managers.Monthly- Compile monthly task completion summaries.- Ensure monthly FMS updates are completed.- Maintain monthly performance tracking sheets.Quarterly- Coordinate quarterly FMS review cycles.- Prepare performance analysis and gap reports.- Validate quarterly KPIs.Yearly- Support HR with annual appraisals.- Prepare yearly performance summaries and rating sheets.- Archive annual documentation for compliance.

Qualifications & Skills
Education- Graduate in any discipline; HR or operations background preferred.Experience- 14 years in HR operations, FMS management, coordination, or administrative roles.Skills- Strong coordination and follow-up skills.- Excellent MS Excel and documentation ability.- Knowledge of FMS platforms and task tracking tools such as Clapgrow.- Strong communication and organizational skills.- Ability to manage multiple tasks and maintain accuracy.Key Competencies- Process-oriented mindset.- High accuracy and discipline.- Analytical thinking.- Professionalism and confidentiality.- Team collaboration.
