Job Description

Position Summary:

Secretary

Key Responsibilities:

  • Provide high-level administrative and secretarial support to the Whole Time Director.
  • Manage the Directors calendar, schedule appointments, meetings, and travel arrangements.
  • Coordinate internal and external meetings, ensuring all logistics are in place.
  • Prepare and review correspondence, reports, presentations, and other documents.
  • Maintain and organize confidential records, files, and data.
  • Liaise effectively with senior management, board members, and external stakeholders.
  • Handle communication on behalf of the Director, including emails, calls, and follow-ups.
  • Monitor deadlines and action items to ensure timely execution.
  • Assist with the preparation of agendas and minutes for executive meetings.
  • Ensure smooth day-to-day functioning of the Director’s office.

Qualifications & Experience:

  • Graduate in any discipline (A degree in Secretarial Practice, Business Administration, or equivalent is preferred).
  • Minimum 11 years of experience

    as an Executive/Personal Secretary to Senior Leadership.
  • Experience supporting Directors or CXOs in a corporate environment is essential.
  • Prior experience in listed companies or the automotive/industrial sectors will be an added advantage.

Skills & Competencies:

  • Excellent written and verbal communication skills.
  • High level of integrity, discretion, and professionalism.
  • Strong organizational and multitasking abilities.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and handle pressure.
  • Pleasant personality with a positive attitude and team orientation.
