Role Overview

The Personal Assistant / Secretary will support the Executive Director in managing schedules, communication, coordination, and follow-ups across various departments. The role requires high professionalism, strong organisational ability, timely reminders, and the capacity to handle both confidential and day-to-day operational tasks.

Key Responsibilities

  • Manage and organise the Executive Director’s daily schedule, meetings, appointments, and reminders.
  • Monitor tasks assigned by the Executive Director and ensure any delays, pending items, or roadblocks are promptly updated.
  • Handle calls, emails, and routine communication on behalf of the Director, ensuring clear and timely responses.
  • Coordinate with internal teams (tech, operations, sales, support, vendor management, etc.) for updates, follow-ups, and documentation.
  • Prepare meeting notes, summaries, and basic reports when required. Write MOMs and Publish to necessary stakeholders and schedule tasks based on the same.
  • Assist in planning travel, events, and logistics for the Director.
  • Maintain an organised filing system—digital and physical—for easy reference.
  • Support the Director with personal tasks or errands when necessary.
  • Maintain confidentiality in all matters and provide proactive support to ease the Director’s workflow.

Skills & Qualifications

  • 1–4 years of experience as a Personal Assistant, Secretary, or similar administrative role.
  • Strong organisational and communication skills.
  • Ability to manage multiple tasks, follow instructions clearly, and work with deadlines.
  • Professional attitude, reliability, and strong sense of discretion.
  • Familiarity with tools like Google Workspace, MS Office, WhatsApp Business, and basic CRM or task-management platforms.
  • Must be Well-versed in English and Tamil. Telugu & Hindi are great additions.

Job Type: Full-time

Pay: ₹30,000.00 - ₹40,000.00 per month

Ability to commute/relocate:

  • Ramanathapuram, Coimbatore, Tamil Nadu: Reliably commute or planning to relocate before starting work (Preferred)

Education:

  • Bachelor's (Preferred)

Experience:

  • Personal assistant: 1 year (Preferred)

Language:

  • Tamil (Preferred)
  • English (Preferred)

Willingness to travel:

  • 25% (Preferred)

Work Location: In person
