Role Overview:
The Operations Manager will oversee day-to-day business operations, support senior leadership through executive assistance, and drive operational excellence across functions.
This role requires strong coordination, communication, analytical abilities, and the capability to work closely with internal teams, clients, and leadership.
Key Responsibilities:
1. Operations Management
- Oversee daily business operations and ensure smooth workflow.
- Track project milestones, deliverables, and timelines.
- Resolve operational challenges and support cross-functional teams.
2. Executive Assistant Support to Leadership
- Provide direct administrative support to senior leadership.
- Manage calendars, travel, meetings, presentations, and key communications.
- Prepare briefs, reports, and follow-up trackers for leadership priorities.
- Handle confidential information with discretion and professionalism.
3. Meetings, MoM & Documentation
- Organize internal and external meetings, reviews, and discussions.
- Prepare clear Minutes of Meeting (MoM) with actionable follow-ups.
- Maintain structured documentation, trackers, templates, and dashboards.
4. Stakeholder & Client Management
- Act as a primary coordination point for clients, partners, and internal teams.
- Address client queries, ensure timely responses, and maintain strong relationships.
- Support client presentations, updates, and review cycles.
5. Business Reports, MIS & Dashboards
- Prepare and manage MIS reports, performance dashboards, and operational trackers.
- Present insights, trends, and recommendations to leadership.
- Support budgeting, forecasting, and strategic planning with data inputs.
6. Strategic & Administrative Support
- Support leadership in planning and monitoring key business initiatives.
- Align cross-functional activities and ensure timely execution.
- Assist in resource planning, documentation, and process alignment.
7. Leadership Support & Governance Rhythm
- Communicate leadership priorities to respective teams and ensure execution.
- Manage weekly, monthly, and quarterly review cycles with accuracy.
- Track commitments, deliverables, and milestones for leadership.
8. Process Improvement & SOP Development
- Identify operational gaps and implement process improvements.
- Develop SOPs, templates, and standard workflows to enhance efficiency.
- Support adoption of automation tools and project management systems.
9. Risk & Issue Management
- Track risks, dependencies, and potential bottlenecks.
- Highlight risks with mitigation plans and follow-up until closure.
- Ensure business continuity by proactively addressing operational challenges.
10. Internal Communication & Collaboration
- Draft internal communication on behalf of leadership as needed.
- Facilitate coordination between teams to ensure alignment and clarity.
- Support engagement initiatives in collaboration with HR and leadership.
11. Performance Monitoring
- Track team-level KPIs, delivery timelines, and SLA adherence.
- Consolidate performance insights for management reviews.
- Highlight gaps, delays, or performance concerns proactively.
12. Confidential Projects & Leadership Initiatives
- Support leadership in confidential or strategic projects as assigned.
- Assist in proposals, tenders, audits, process redesign, and special initiatives.
13. Vendor & Contract Coordination
- Ensure compliance, documentation, and commercial discussions are aligned.

- Support initiatives that strengthen teamwork, communication, and collaboration.
- Assist HR in company-wide engagement activities and events.
