Key Skills:

Roles & Responsibilities:

  • Manage day-to-day office operations, including greeting visitors and managing the office switchboard.
  • Maintain conference rooms and manage the distribution of post and couriers.
  • Schedule maintenance and repairs, both planned and reactive.
  • Perform general administrative duties, including invoice approval and monthly allocation spreadsheets.
  • Coordinate travel arrangements for the office, including air, hotel, and ground transportation for domestic and international itineraries.
  • Organize meetings and process expense reports for office members.
  • Plan and coordinate office events such as holiday parties and summer drinks.
  • Undertake ad hoc administrative projects and tasks as required.
  • Support day-to-day office operations, including assisting with deliveries and invoicing.
  • Conduct routine maintenance checks and liaise with serviced office management for annual PPM.
  • Ensure cleanliness and maintenance of office space, meeting rooms, and private offices.
  • Comply with local health and safety regulations and assist with fire marshalling and fire alarm checks.
  • Monitor and manage access control and CCTV systems.
  • Manage supplier relationships and organize storage areas within the facility.

Experience Required:

  • 3-5 years of experience in managing administrative functions in a corporate setting.
  • Strong ability to coordinate with internal teams and external vendors.
  • Experience handling facility management, invoice processing, and travel coordination.
  • Good organizational and problem-solving skills with the ability to manage multiple tasks.
