Job Description

The Office Executive plays a key role in ensuring smooth day-to-day operations within the travel company. This role involves administrative support, customer coordination, documentation handling, and assisting travel consultants with itinerary preparation and booking processes. The Office Executive acts as a central point of communication between clients, vendors, and internal teams.

Key Responsibilities1. Administrative & Office Management

  • Handle daily office operations, including phone calls, emails, walk-in inquiries, and appointment scheduling.
  • Maintain office records, filing systems, and travel documentation.
  • Manage office supplies, stationery, and vendor coordination.
  • Ensure compliance with company policies and travel industry standards.

2. Customer Support

  • Assist customers with inquiries related to travel packages, bookings, cancellation policies, and documentation requirements.
  • Provide timely responses to queries via phone, email, and in-person.
  • Maintain customer satisfaction through professional communication and follow-ups.

3. Booking & Documentation

  • Support travel consultants in preparing itineraries, quotations, and travel proposals.
  • Assist with bookings for flights, hotels, transportation, tours, and travel insurance.
  • Process visas, passports, travel permits, and other client documentation.
  • Maintain accurate records of bookings, vouchers, invoices, and payments.

4. Coordination & Communication

  • Coordinate with travel suppliers, airlines, hotels, and tour operators.
  • Ensure timely delivery of travel vouchers, tickets, and confirmation details.
  • Communicate changes, updates, or special requests to clients and vendors.

5. Data Management & Reporting

  • Update CRM or travel management systems with client information and booking details.
  • Prepare daily, weekly, and monthly reports on sales, inquiries, and office activities.
  • Assist in maintaining client databases and travel package information.

Skills & QualificationsEssential Skills

  • Strong communication and interpersonal skills
  • Good organizational and time-management abilities
  • Proficiency in MS Office (Word, Excel, PowerPoint) & email communication
  • Attention to detail and accuracy
  • Ability to multitask and manage deadlines
  • Basic travel industry knowledge (preferred)

Education & Experience

  • Bachelor’s degree or equivalent qualification
  • Fresher / 1–3 years of experience in office administration; experience in a travel company is an advantage
