2. Key Responsibilities (Detailed)

A. Office Administration

  • Manage daily office operations including stationery, supplies, housekeeping, and vendor coordination.
  • Maintain organized filing systems (physical and digital) for invoices, HR files, contracts, and reports.
  • Handle front-desk duties: greeting visitors, managing calls, and maintaining the reception area.
  • Coordinate meetings, prepare meeting rooms, set up equipment, and ensure smooth logistics.
  • Draft letters, emails, and basic office communication as required.
  • Manage courier services, incoming/outgoing mail, and document dispatch.

B. Accounts & Finance Support

  • Assist with data entry for invoices, receipts, and payments into accounting spreadsheets/software.
  • Help prepare basic financial statements, expense sheets, and reimbursement documents.
  • Maintain petty cash records and support monthly expense reconciliation.
  • Follow up with vendors for invoice submissions and payment confirmations.
  • Support the accounts department during audits with document organization.

C. Human Resources (HR) Assistance

  • Maintain attendance records, employee leave trackers, and HR documentation.
  • Assist with recruitment: posting job ads, screening profiles, scheduling interviews, coordinating with candidates.
  • Support onboarding: collecting documents, preparing employee files, issuing ID cards, and assisting in orientation.
  • Help draft HR documents such as offer letters, appointment letters, and HR notices.
  • Assist in planning and coordinating training, workshops, and employee engagement activities.
  • Ensure all employee data remains confidential and secure.

D. CEO Appointment Setting & Executive Support

  • Manage, update, and organize the CEOs daily calendar and schedules.
  • Schedule and confirm appointments with customers, advisors, investors, and internal leaders.
  • Arrange travel, accommodation, and meeting arrangements when required.
  • Send reminders, follow-ups, and provide a daily schedule briefing to the CEO.
  • Prepare meeting notes, collect updates from departments, and track action items.
  • Handle communication on CEO's behalf with utmost professionalism and confidentiality.

E. Reporting & Documentation

  • Prepare daily/weekly administrative reports and task trackers.
  • Maintain updated records for Accounts, HR, and Office Admin.
  • Assist in preparing presentations, proposals, and internal reports for leadership.
  • Ensure accurate documentation for compliance and audit purposes.

3. Skills & Qualifications

  • Pursuing or recently completed a Bachelor’s degree in

    Commerce, Business Administration, HR, Finance

    , or similar field.
  • Strong communication skills in English (written & verbal).
  • Good command over MS Office (Excel, Word, PowerPoint) and Google Workspace.
  • Ability to multitask, prioritize, and manage time effectively.
  • High level of professionalism, confidentiality, and attention to detail.
  • Proactive, disciplined, and eager to learn corporate operations.
