Marketing Operations Assistant - GHL automation

For 13+ years, we've helped entrepreneurs through leadership and mindset resilience coaching with clients in Canada, America and Europe.

We're looking for a candidate who can BUILD the automation infrastructure while we focus on clients. We have 470 leads waiting for nurture sequences, a quiz that needs building, and renewal communications that need automating.

Role & responsibilities

What You'll Actually Be Doing

GHL Automation & Workflow Building (60%)

• Build email automation workflows in GHL from specs we provide
• Create forms, landing pages, opt-in pages for lead generation
• Set up lead nurture sequences with triggers, tags, and segmentation
• Implement conditional logic (if contact does X send them to path Y)
• Test and troubleshoot automations before they go live
• Maintain our GHL database (contacts, tags, pipelines)

Voice-to-Action Translation (15%)

• Listen to WhatsApp voice messages (our primary communication)
• Extract action items and organize them in ClickUp
• Turn "I'm thinking we should..." into "Here's the 5-step plan with assignments"

Copywriting Support (15%)

• Turn founder's voice notes into client-facing email copy
• Maintain brand consistency (fonts, tone, formatting)
• Help refine messaging (you're not writing strategy, but helping GET IT OUT)
• Use AI strategically to smooth copy AFTER initial ideas are down

Admin & Quality Control (10%)

• Email/calendar management in GHL
• Catch errors before they become client problems (wrong links, formatting issues)
• Say "Hey, you missed something" when we do

Current Priority Projects (What You'd Work On First 30 Days)

1. Build lead gen quiz in GHL

   - Segment leads by sophistication level, set up post-quiz automation

2. Create nurture sequence for 470 summit leads

   - We provide copy/strategy, you build in GHL

3. Set up client renewal automation

   - Communication sequence + tracking

4. Implement lead magnet delivery systems

   - Forms + automated email delivery

5. Organize ClickUp

   - Turn brain dumps into actionable tasks with assignments

After 30 Days:

You're The Ideal Candidate If you are between the age of 25 to 35 and have:

Technical Skills (REQUIRED):

GHL proficiency

Automation thinking

ClickUp or similar

Tech-savvy

Operational Skills:

Detail-oriented

Can translate voice messages

Think about client experience

Move fast without sacrificing accuracy

Communication & Work Style:

100% comfortable with WhatsApp voice messages

Not afraid to speak up

Can work with neurodivergent communication

Want to grow as a person

Copywriting (Nice to Have):

Mid-level copywriting/marketing experience helpful but NOT required if GHL skills are strong

Ability to adapt writing to match our voice (strategic, conversational, human - not corporate)

You don't have hands-on GHL experience (this is mandatory)
Voice messages feel unprofessional You need everything stable and predictable (we're scaling, things shift) You prefer to stay quiet when you see problems You aren't detailed oriented You just want a "job" (this isn't punch in/punch out)

Competitive Compensation

This includes a competitive base salary and eligibility for an annual cash bonus, which is awarded on the second year of service based on measurable contributions to company growth and every year afterwards.
