In addition, we’re looking for a hands-on expert who can build, tune, and protect the infrastructure that keeps our clients’ revenue-critical emails landing in the inbox—not the spam folder. What You’ll Do Infrastructure Setup & Management • Stand up and maintain third-party ESPs (SendGrid, Mailgun, Amazon SES) and on-prem/virtual MTAs (PowerMTA). • Configure dedicated IP pools and warm-up schedules to safeguard sender reputation. • Spin up new domains/sub-domains, provisioning DNS (A, MX, TXT, SPF, DKIM, DMARC, BIMI, rDNS) end-to-end. Deliverability & Authentication • Monitor inbox vs. spam placement, bounce codes, complaint rates, and blocklists; drive swift remediation. • Apply FBLs, feedback loops, and seed-list testing; own deliverability dashboards and alerts. • Partner with marketing teams to optimise templates, HTML/CSS, and sending cadence. Troubleshooting & Optimisation • Analyse SMTP transcripts, PMTA logs, and ESP dashboards to diagnose delivery issues. • Implement ongoing IP/domain warm-up, throttling, and list-hygiene strategies. • Tune PMTA configs and routing rules for large-scale bulk sends. Security & Compliance • Enforce authentication standards (SPF, DKIM, DMARC, BIMI). • Ensure CAN-SPAM / CASL / GDPR compliance in all sends. • Coordinate periodic audits of sender reputation, DNS hygiene, and inbound security. Reporting & Continuous Improvement • Publish weekly deliverability scorecards for internal and client stakeholders. • Stay current on ISP policy changes, new authentication protocols, and industry benchmarks. • Recommend tooling or process changes to push inbox placement toward 99 %+. Microsoft 365 & Exchange Online • User / group / licence lifecycle. • Conditional Access, MFA, and Intune policies. • Shared mailboxes, resource calendars, transport rules. • Retention & e-Discovery configuration. DNS & Domain Management • Maintain DNS zones (A, CNAME, TXT, MX, SPF, DKIM, DMARC). • Coordinate new domain registrations & renewals. • Implement subdomains or aliases for marketing campaigns. Minimum Requirements 3+ years in email deliverability, MTA/ESP administration, or related infrastructure roles. Proven expertise with Microsoft365 , Office , SMTP, SPF, DKIM, DMARC, rDNS, BIMI and large-scale DNS management. Hands-on experience with SendGrid, Mailgun, Amazon SES or PowerMTA configuration and optimisation. Solid grasp of HTML/CSS for email and common rendering pitfalls. Comfortable analysing bounce logs, spam-trap hits, and feedback-loop data. Strong documentation habits and ability to translate complex deliverability issues for non-technical stakeholders. Experience integrating outreach tools (Apollo, Outreach, HubSpot) with custom domains and tracking links. Familiarity with Microsoft 365 or Google Workspace identity/email admin. Nice to Have Scripting ability (PowerShell, Python, or Bash) to automate warm-ups and reporting. Certifications: HubSpot Email Marketing, MTA EE, Mailgun or SendGrid Deliverability accreditation. About the Role We’re hiring a DevOps + Backend Engineer with 2–6 years of hands-on experience working on email-based CRM systems , particularly in environments handling cold emailing, inbox syncing, and infrastructure scaling . We’re building a Cold Email CRM using the MERN stack that will: Sync user inboxes and sent boxes (IMAP-based) Run large-scale cold email campaigns (10,000–50,000+ emails/day) Implement rotating IP infrastructure to ensure deliverability and domain reputation We're currently hosted on Hostinger and planning a full migration to AWS . We’re also actively facing a memory spike issue caused by IMAP syncing — and need someone with the skills to design and implement scalable, stable architecture under budget constraints. Top Priority Responsibilities Fix the memory spike issue caused by email syncing in our Node.js IMAP integration , ensuring efficient inbox + sent box syncing without server crashes. Profile and resolve memory leaks , inefficient loops, and garbage collection issues across services. Implement IP rotation for cold emailing (Postfix / SMTP / Mailgun / Sendgrid), supporting 10,000–50,000 emails/day while avoiding spam blacklists. Build a dynamic sync queue architecture for email syncing: Support up to 50 concurrent IMAP inbox/sentbox syncs on a monthly infra budget of ₹30,000 If the limit is reached, queue additional users' syncs with a popup ETA based on inbox size and queue position Design system to dynamically handle 100–500 inbox syncs/day — or determine the realistic upper limit under the given budget, and how overflow users will be gracefully handled without sync failures Implement RAM/CPU-aware queuing logic to delay sync jobs without overloading servers. Monitor usage trends, MongoDB memory consumption, and backend logs to proactively detect issues . Migrate from Hostinger to AWS , designing an auto-scalable, budget-conscious infrastructure. Set up automated health checks (RAM, CPU, disk, uptime, logs) and alert systems. Work closely with developers to refactor high-memory endpoints and prep infra for 10x user scaling . Additional Responsibilities Build and maintain CI/CD pipelines (Node.js + React). Optimize MongoDB performance : indexing, queries, memory usage.
