Job Description

The Facility Administrator is responsible for managing and overseeing the daily operations of the facility to ensure a safe, efficient, and functional environment. Your role involves coordinating building maintenance, managing vendor relationships, handling office space, and ensuring compliance with safety regulations. You will work closely with the management team to enhance the workplace environment for employees and visitors. You will oversee and manage the day-to-day operations of the facility, including office spaces, common areas, and storage areas. It will be your responsibility to ensure that the facility is clean, well-maintained, and compliant with safety and health standards. Monitoring and managing the upkeep of all building systems such as HVAC, plumbing, electrical, and lighting will also fall under your purview. In terms of vendor and contractor management, you will be required to liaise with contractors, service providers, and vendors for services like cleaning, landscaping, pest control, and repairs. Reviewing and managing contracts to ensure services are performed as agreed will be an essential part of your responsibilities. Safety and compliance are crucial aspects of your role. Therefore, you must ensure adherence to health, safety, and environmental regulations. Organizing regular safety drills, inspections, and emergency response protocols, as well as maintaining records for compliance audits, safety inspections, and regulatory requirements, will be part of your routine tasks. Space planning and management will also be under your purview. You will coordinate office space planning and furniture setup based on operational needs, track and manage space usage, assist with office relocations, and maintain the office layout. Financial management tasks will include assisting in developing and managing the facility budget, controlling costs, and tracking expenses. Additionally, you will monitor inventory levels for supplies, equipment, and furniture, ensure necessary office equipment is functioning, and coordinate repairs or replacements as needed. Emergency management is a critical aspect of your role. You will be responsible for developing and implementing emergency procedures, ensuring that staff are trained in emergency protocols, and serving as the point of contact during facility-related emergencies such as power outages, building evacuations, or natural disasters. As a key point of contact for employees and visitors, you will provide customer service and employee support for facility-related requests, maintenance issues, or office-related inquiries. Ensuring that facilities support employee productivity and comfort, and addressing any concerns or issues promptly, will be essential for maintaining a positive workplace environment.,
