Import Export Manager

1. Position Overview

The Senior Manager Export & Import is responsible for leading, controlling, and optimizing all international trade operations including export documentation, import clearance, customs compliance, logistics planning, vendor coordination, and shipment cost optimization. The role ensures timely movement of goods, adherence to statutory requirements, and alignment with business objectives.

2. Key Responsibilities

A. Export Operations

• Manage end-to-end export documentation (Packing List, Invoice, COO, B/L, Phyto, Fumigation, LC/BG related documents).
• Ensure compliance with export regulations, DGFT norms, incoterms, and customer-specific requirements.
• Coordinate with production, warehouse, CHA, and freight forwarders for timely shipment planning.
• Monitor export dispatches, track vessel schedules, and ensure OTIF (On-Time In-Full) delivery.
• Handle post-export documentation submission for payment realization.
• Drive cost efficiency in freight rates, packaging, stuffing & loading operations.

B. Import Operations

• Manage all import activities including LC terms, advance payments, BOE filing, and HS-code classification.
• Coordinate with foreign suppliers, CHA, shipping lines, airlines, and internal teams.
• Ensure timely clearance of consignments by monitoring arrival notices, IGM filing, and customs queries.
• Track duty structures, FTAs/PTAs, benefit schemes, and duty drawback eligibility.
• Optimize logistics, container utilization, demurrage/detention cost control.

C. Compliance & Documentation

• Ensure adherence to

  Customs Act, DGFT, FEMA, RBI

  , and applicable government notifications.
• Apply for licenses/permissions: EPCG, Advance License, LUT/Bond, AD Code, etc.
• Maintain audit-ready documentation (pre-shipment & post-shipment).
• Ensure accuracy in HS codes, product classification, and valuation.

D. Logistics & Coordination

• Negotiate freight rates with forwarders, carriers, CHA, transporters.
• Plan sea, air, or courier shipments as per urgency and cost guidelines.
• Ensure proper coordination with internal teams (Purchase, Production, Finance, Warehouse).
• Control cost leakages and improve operational TAT.

E. MIS, Reporting & Controls

• Maintain dashboards for export/import status, freight cost analysis, duty savings, and RoDTEP/MEIS benefit tracking.
• Prepare monthly MIS on shipment performance, cost reduction, compliance scorecards, and exceptions.
• Drive continuous improvement initiatives and automation in documentation processes.

3. Key Skills & Competencies

4. Qualifications & Experience

• Graduate/Post-Graduate in commerce .
• 4-5 years of experience in Export-Import operations, preferably in manufacturing, apparel, FMCG, engineering, or trading companies.
• Hands-on experience with ERP systems (SAP/Oracle/Tally/Customs EDI).
