Key Responsibilities

1. Documentation Management

  • Scrutinize

    100% of import shipment documents

    immediately upon receiving pre-alerts (before Bill of Entry preparation).
  • Verify all documents for accuracy and completeness; proactively coordinate with clients to rectify discrepancies.
  • Prepare

    Bills of Entry (BE)

    with zero errors, ensuring full compliance with customs regulations.
  • Maintain up-to-date knowledge of

    customs laws, notifications, and procedural amendments

    to ensure compliance in all documentation activities.

2. Timely Submission and Customs Coordination

  • Prepare and submit import documentation

    before shipment arrival

    to avoid customs clearance delays.
  • Respond promptly to

    queries or objections

    raised by customs authorities.
  • Ensure smooth and timely

    customs clearance

    through proactive coordination and accurate documentation.

3. Reporting and Compliance

  • Provide regular status updates and exception reports to the

    Reporting Manager

    and

    Management Team

    .
  • Maintain

    monthly KPI reports

    , and ensure all client-related records such as

    bonds, licenses, and compliance documents

    are accurately updated.
  • Identify gaps or inefficiencies in the documentation process and suggest practical improvements.

4. Team Collaboration and Training

  • Work closely with internal departments including

    operations, transportation, and logistics

    to ensure seamless coordination.
  • Conduct

    weekly training sessions

    for team members on topics such as checklist preparation, e-Sanchit uploads, and document verification procedures.
  • Support team development by sharing updates on regulatory changes and best practices.

Candidate Profile

  • Minimum 1 year of experience in

    import documentation

    and

    customs clearance

    .
  • Strong understanding of

    Bill of Entry preparation

    and related documentation.
  • Excellent attention to detail and organizational skills.
  • Proficiency in MS Office and basic knowledge of e-Sanchit or other customs systems.
  • Good communication, coordination, and time management skills.
