Job Description

Key Responsibilities

1. Time Office & Attendance Management

  • Manage daily attendance, shift schedules, overtime, leave, and late/early records
  • Maintain and monitor attendance through

    HRMS / biometric / mobile application

  • Prepare monthly attendance and wage data for payroll processing
  • Coordinate with department heads for attendance discrepancies and corrections
  • Maintain records related to absenteeism, leaves, and weekly offs

2. Payroll Management

  • Prepare monthly payroll for

    Fixed Salary, Skilled, and Stitch workers

  • Process salary, incentives, overtime, deductions, advances, and arrears
  • Ensure timely salary disbursement as per company policy
  • Generate salary slips and payroll reports
  • Coordinate with Accounts for bank transfers and payroll reconciliation

3. Recruitment & Onboarding

  • Handle end-to-end recruitment for staff and factory workers
  • Coordinate with department heads for manpower requirements
  • Screen resumes, schedule interviews, and assist in candidate selection
  • Issue offer letters, appointment letters, and collect joining documents
  • Conduct employee onboarding and maintain employee master data

4. Statutory Compliance & Legal Requirements

  • Ensure compliance with

    PF, ESIC, Professional Tax, Bonus, Gratuity, Factory Act, and Labour Laws

  • Handle PF & ESIC registration, monthly returns, challans, and inspections
  • Maintain statutory registers and records as per labour laws
  • Coordinate with consultants and government departments
  • Support audits and inspections (Labour, PF, ESIC, Factory Inspector)

5. Employee Relations & HR Operations

  • Address employee queries related to attendance, salary, and HR policies
  • Assist in implementing HR policies, rules, and procedures
  • Support disciplinary actions and grievance handling
  • Maintain employee files, records, and documentation

Skills & Competencies

  • Strong knowledge of

    Time Office, Payroll & Labour Laws

  • Hands-on experience with

    HRMS / Payroll software

  • Good communication and coordination skills
  • High level of accuracy and confidentiality
  • Proficiency in MS Excel, Word, and reporting
