Job Description

As a People Assistant at Ideagen, you will play a crucial role in providing organized and proactive administrative support to address various HR queries and issues for employees throughout their lifecycle. Your primary responsibility will involve acting as the first point of contact for all employees reaching out to the People team, ensuring high-level customer service and confidential handling of employee data. You will be part of a collaborative team effort that supports multiple countries/locations within the organization. Reporting to the VP of People (Shared Services), you will assist the VP/Head of People/People Business Partner in delivering a wide range of HR services, as well as supporting Talent Acquisition and Reward teams. Your role will require effective task management, prioritization, and relationship building skills. Key Responsibilities: - Provide exceptional customer service with accurate and efficient responses to internal stakeholders. - Serve as the initial support contact for employees and line managers, offering guidance on policies and escalating complex queries when necessary. - Manage incoming queries in the People shared inbox, categorizing them appropriately. - Assist in notetaking during formal meetings and prepare outcome letters as needed. - Draft employee-related correspondence such as changes to terms and conditions, family leave, references, and resignation acknowledgements. - Offer proactive support to the broader People team and generate reports and analysis on People data. - Establish positive relationships with internal stakeholders across the business. Skills and Experience: - Minimum of 4 years of experience in US Federal and State Labor Laws and Regulations to ensure compliance. - Proficiency in Benefits Administration, including managing employee benefits programs. - Familiarity with Workday system. - Willingness to work overlapping hours to accommodate India and US time zones. - Strong administrative background with the ability to adapt quickly to new challenges. - Team player with a proactive attitude, professionalism, and ethical values. - Excellent communication skills and the ability to engage with diverse groups of individuals. - Highly organized with keen attention to detail and an understanding of the importance of confidentiality.
