Job Description

Position Overview:

The Front Office Executive is the first point of contact for visitors, clients, and employees. This role manages reception activities, communication, ticket booking, and administrative support to ensure smooth day-to-day operations of the front office.

Key Responsibilities:

  • Reception & Guest Management

    • Greet and assist visitors in a professional and courteous manner.
    • Maintain visitor logs and issue visitor passes.
    • Ensure reception area is clean, organized, and welcoming.
  • Communication Handling

    • Answer, screen, and forward incoming phone calls.
    • Respond to emails and inquiries promptly.
    • Coordinate internal and external communication effectively.
  • Ticket Booking & Travel Coordination

    • Handle domestic and international travel bookings (flights, trains, buses).
    • Arrange hotel accommodations and local transport for staff/guests.
    • Maintain records of travel itineraries and expenses.
    • Liaise with travel agents and vendors for cost-effective solutions.
  • Administrative Support

    • Schedule and manage appointments, meetings, and conference rooms.
    • Assist with courier services, incoming/outgoing mail, and deliveries.
    • Support HR and Admin teams with documentation and filing.
  • Office Coordination

    • Maintain office supplies inventory and place orders when required.
    • Liaise with vendors and service providers for office maintenance.
  • Record Keeping

    • Maintain accurate records of staff attendance, visitor details, and travel bookings.
    • Prepare basic reports and assist in data entry tasks.

Qualifications & Skills:

  • 3 years of experience in front office, reception, or administrative roles.
  • Experience in ticket booking and travel coordination.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office (Word, Excel, Outlook) and travel booking platforms.
  • Professional appearance and customer service orientation.
