Overview:

We are looking for a Front Office Assistant who serves as the first point of contact for visitors and clients. This role is responsible for managing the front desk, handling incoming calls, responding to inquiries, and providing administrative support to ensure smooth office operations.

Key Responsibilities:

- Greet and welcome guests in a professional and friendly manner.

- Answer, screen, and direct incoming phone calls.

- Handle general inquiries and provide accurate information.

- Manage the reception area to ensure it is tidy and presentable.

- Maintain visitor logs and issue visitor passes.

- Receive, sort, and distribute daily mail/deliveries.

- Assist in scheduling appointments and meetings.

- Maintain office supplies inventory and order items when needed.

- Perform basic clerical duties such as filing, photocopying, and scanning.

- Coordinate with internal departments for administrative tasks.

- Support HR and administrative staff with daily operations.

Qualifications and Skills:

- High school diploma or equivalent; diploma in office management or relevant field is a plus.

- Proven work experience as a receptionist, front office representative, or similar role.

- Proficiency in MS Office (Word, Excel, Outlook).

- Excellent verbal and written communication skills.

- Strong organizational and multitasking abilities.

- Professional appearance and attitude.

- Customer service orientation.

Preferred:

- Experience in Hotel Front desk software preferable ezee Absolute.

- Experience with office equipment (e.g., printers, scanners, phone systems).

- Familiarity with administrative and clerical procedures.

- Good knowledge of data entry and record keeping.
