Job Description

Job Summary

We are seeking a detail-oriented and experienced Export Documentation Manager / Export Manager to oversee and coordinate all export operations and documentation processes. The ideal candidate will ensure compliance with international regulations, manage the end-to-end documentation cycle, and collaborate with internal teams, freight forwarders, and customers to guarantee smooth export shipments.

Key Responsibilities

  • Prepare, review, and manage all export documentation including commercial invoices, packing lists, certificates of origin, bill of lading, LC documents, shipping instructions, export declarations, etc.
  • Ensure full compliance with export laws, customs regulations, Incoterms, and international trade requirements.
  • Coordinate with freight forwarders, shipping lines, customs brokers, and internal logistics teams.
  • Track and monitor shipment schedules to ensure timely dispatch and delivery.
  • Handle documentation for Letters of Credit (LCs) and manage any required amendments.
  • Maintain accurate records for audits and internal reporting.
  • Manage export licenses, permits, and certifications as needed.
  • Resolve discrepancies related to documentation, customs clearance, or shipment issues.
  • Communicate professionally with global clients and suppliers regarding shipping status and documentation needs.
  • Optimize export processes to improve efficiency and reduce costs.

Qualifications

  • Bachelor’s degree in International Business, Supply Chain, Logistics, or a related field.
  • 2–5+ years of experience in export documentation, logistics, or international trade.
  • Strong knowledge of Incoterms, international shipping procedures, and customs rules.
  • Experience with LC documentation and understanding of banking requirements.
  • Proficiency in MS Office and ERP/logistics software.
  • Excellent organizational, multitasking, and communication skills.
  • Ability to work in a fast-paced environment and meet deadlines.

Preferred Skills

  • Experience working with freight forwarders or manufacturers.
  • Knowledge of HS codes, export compliance, and global trade regulations.
  • Familiarity with international markets (Asia, Europe, Middle East, etc.).
  • Strong problem-solving abilities and attention to detail.
