Corporate Travel, Hospitality, and Event Services

Key Responsibilities:

1. Corporate Travel Management

  • Manage end-to-end corporate travel including bookings for air, hotel, transportation, visas, insurance, and foreign exchange.
  • Handle travel arrangements for senior leadership, board members, and VIP guests with confidentiality and attention to detail.
  • Plan and coordinate personal holidays for eligible senior management.
  • Ensure seamless travel execution with minimal disruptions and 24x7 support for emergency or escalated travel situations.
  • Provide policy guidance and support to employees, including international travel briefings and guest profile creation.
  • Ensure fare benchmarking (market/OTA/offshore desks) and maintain cost-savings documentation.
  • Track and address employee feedback post-travel for continuous improvement.

2. Hospitality & Guesthouse Operations

  • Oversee hotel partnerships and manage corporate bookings across geographies.
  • Negotiate corporate rates and renew contracts with hotels, service apartments, and hospitality vendors.
  • Manage operations of company-owned or leased guesthouses (Transit Houses), ensuring optimal usage, vendor performance, utility management, and audit compliance.
  • Provide alternative lodging arrangements when required and support technical/process issues related to guesthouse bookings.
  • Maintain accurate MIS on bookings, occupancy, vendor performance, and costs.

3. Foreign Exchange (Forex) Management

  • Oversee complete forex issuance and surrender process as per RBI and internal compliance.
  • Coordinate with authorized dealers, vendors, and Shared Services Center (SSC) for forex processing and payments.
  • Maintain complete documentation and generate monthly MIS reports for audit and internal tracking.
  • Proactively resolve discrepancies related to forex transactions and settlements.

4. Policy Compliance & Risk Management

  • Develop, implement, and enforce corporate travel and hospitality policies.
  • Track policy deviations, prepare exception reports, and recommend corrective actions.
  • Work with internal security, HR, and legal teams for traveler safety protocols and emergency response strategies.
  • Ensure all activities are compliant with audit, regulatory, and immigration guidelines.

5. Technology, Automation & Expense Systems

  • Manage and optimize corporate travel tools (e.g., SAP Concur, Amadeus, Egencia, other GDS/OBT platforms).
  • Collaborate with IT and external vendors to drive automation in approvals, booking flows, reporting, and feedback systems.
  • Lead T&E (Travel & Expense) system rollouts and ensure expense reports are policy-compliant and processed timely.
  • Identify process inefficiencies and implement improvements across travel and hospitality operations.
  • Support implementation and testing of digital tools like the Pragyan App for facilities and guesthouse bookings.

6. Able to handle Corporate Events &

  • Liaise with venues, hotels, transport, caterers, and external event agencies.

Skills & Competencies:

  • Proven expertise in corporate travel, hospitality, and event operations.
  • Strong vendor negotiation and contract management skills.
  • Deep understanding of GDS/OBT platforms, SAP Concur, and T&E systems.
  • Knowledge of IATA norms, RBI forex guidelines, visa/immigration compliance.
  • Analytical mindset for cost control and MIS reporting.
  • Strong crisis management, planning, and coordination skills.
  • Tech-savvy with a continuous improvement and automation mindset.
  • Excellent interpersonal, communication, and stakeholder engagement skills.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Qualifications & Experience:

  • Graduate/Postgraduate in Travel & Tourism, Hospitality, Business Administration, or related fields.
  • 5-10 years of progressive experience in corporate travel, hospitality, or event management roles.
  • Exposure to global travel operations, compliance, and travel tech platforms.
  • Certification in IATA, GDS tools, or event/hospitality management is a plus.
