Job Description

Role Summary

The Audit Executive will support internal audit activities across departments by assisting in audit planning, execution, reporting, and compliance monitoring. The role involves conducting departmental audits, surprise checks, MIS validation, and maintaining audit documentation to ensure adherence to institutional policies, procedures, and regulatory requirements.

Key Responsibilities

1. Audit Planning & Scope Preparation

  • Assist in preparing audit scope based on previous audit reports and departmental requirements.
  • Support seniors in identifying key risk areas covering operational, financial, and compliance processes.
  • Coordinate with concerned departments for audit planning and scheduling.

2. Audit Execution

  • Conduct departmental audits as per approved audit plans and defined scope.
  • Ensure audits are performed systematically and within stipulated timelines.
  • Identify gaps, discrepancies, control weaknesses, and non-compliance during audits.

3. Audit Findings & Reporting

  • Document audit observations clearly and submit initial findings to seniors for review.
  • Assist in preparing concise summaries of audit findings for management review.
  • Communicate significant audit observations to concerned departments under guidance of seniors.

4. Audit Report Preparation

  • Assist in drafting detailed audit reports including observations, recommendations, and corrective actions.
  • Support seniors in review and finalization of audit reports.
  • Ensure reports are accurate, well-structured, and aligned with audit objectives.

5. Documentation & Record Management

  • Maintain proper documentation of audit procedures, findings, and follow-up actions.
  • Ensure audit records are organized, updated, and easily accessible for future reference.
  • Track compliance status and closure of audit observations.

6. Surprise Checks

  • Assist in conducting surprise checks related to inventory and financial controls.
  • Support audits in revenue-generating departments such as Transport, Hostel, and Mess.
  • Report irregularities or deviations promptly to seniors.

7. MIS Coordination & Data Validation

  • Coordinate with departments to collect monthly MIS reports.
  • Analyse and validate MIS data on a periodic basis.
  • Highlight discrepancies and support corrective actions through coordination with departments.

8. Committee & Coordination Support

  • Assist seniors during committee meetings as required.
  • Prepare notes, reports, and follow-up action points from meetings.
  • Coordinate with departments for implementation of committee decisions.

9. Additional Responsibilities

  • Perform any other duties assigned by seniors or the HoD.
  • Support emerging audit and compliance requirements.
  • Contribute to continuous improvement of audit processes.
