Requirement

A BSE listed public company based out of Ahmedabad is looking to appoint an Executive Assistant to the MD as

soon as possible. Companys primary business activities include trading of chemicals, metals, minerals and ores,

financial investments, and real estate construction.

Role Summary:

The individual would be required to work in a team environment in delivering the secretarial needs of the companys

senior management team such as diary management, calendar management, travel management, documentation,

tool support and other administrative requirements that may arise on need basis.

Responsibilities:

Support the Director primarily and provide additional support to executive team members, as directed, to ensure

that company goals and objectives are accomplished and that operations run efficiently

Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved,

and best practices are upheld

Manage professional and personal scheduling for Director, including agendas, mail, email, phone calls, client

management, and other company logistics

Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals

Provide administrative and office support, such as typing, dictation, spreadsheet creation, emailing, and

maintenance of filing system and contacts database

Comfortable working on a number of activities concurrently

Able to work in a rapidly changing environment and prioritize accordingly

Respond well to deadlines and work outside of normal hours when required

Professional and diplomatic communicator

Quality focused and takes pride in paying attention to detail

Responsible for participation in general administrative duties (copying, filing, archiving), ad-hoc projects,

committees and/ or group events.

Order supplies and keeps inventory well-stocked.

Demonstrate high degree of integrity and confidentiality.

Qualifications:

Minimum of 6 years' experience in an Executive Administrative Assistant role

Experience in calendar management

Adaptable team player

Good problem-solving ability

Strong organizational skills. Comfortable working with people at all organizational levels.

Strong working experience with Microsoft Word, Excel and PowerPoint, including table creation, mail merges

and basic formatting

Knowledge of general office procedures (e.g., filing, correspondence, scheduling, expenses, calendar)

Effective interpersonal skills

Excellent telephone etiquette

Demonstrate high degree of integrity and confidentiality.

Superior oral and written communication skills

Tact and good judgment in confidential situations and proven experience interacting with senior management

Ability to adapt procedures, processes and techniques to the completion of assignments

Complete knowledge of internal network filing system

College degree is a plus

Compensation:

Compensation will depend on experience and level of proficiency.
