Role & responsibilities Calendar and Schedule Management: Organize and manage the MDs calendar, ensuring optimal time management and prioritization. Schedule and coordinate meetings, appointments, and travel arrangements. Prepare agendas, documents, and presentations for meetings with clients, executives, and other stakeholders. Communication and Correspondence: Act as the first point of contact between the MD and internal/external stakeholders. Handle phone calls, emails, and other correspondence, prioritizing responses and ensuring that messages are delivered promptly. Draft, review, and proofread emails, reports, and presentations. Confidentiality and Documentation: Manage sensitive and confidential information with discretion and integrity. Maintain organized records and filing systems for the MDs documents, contracts, and reports. Meeting Coordination: Organize and attend meetings, take detailed minutes, and follow up on action items. Prepare briefing materials and provide pre-meeting reports for the MD. Task Management Support: Assist in coordinating tasks and initiatives, working closely with the MD to ensure deadlines and deliverables are met. Provide administrative support for special projects, ensuring timelines and deliverables are on track. General Administrative Support: Provide administrative support to other senior executives and departments when needed. Assist in preparation and execution of company events, conferences, and executive meetings. Relationship Management: Cultivate and maintain professional relationships with clients, partners, and other stakeholders on behalf of the MD.
