Job Description

Role & responsibilities:-

1. Calendar & Schedule Management

  • Manage the VPs daily calendar, appointments, and meetings.
  • Prioritize and coordinate scheduling based on urgency and business needs.
  • Send timely reminders and prepare for meetings in advance.

2. Communication & Correspondence

  • Draft, review, and manage internal/external communication on behalf of the VP.
  • Act as the first point of contact for stakeholders, clients, and team members.
  • Maintain professionalism and clarity in all written and verbal communication.

3. Meeting Support

  • Organize meetings, conferences, reviews, and off-sites.
  • Prepare agendas, minutes, presentations, and follow-up action points.
  • Track decisions and ensure timely closure of tasks.

4. Travel & Logistics

  • Coordinate domestic and international travel, accommodations, and itineraries.
  • Process travel claims and expense reports.

5. Administrative Support

  • Maintain documentation, records, and filing systems.
  • Handle office administrative tasks for the VP and assist in coordination across teams.
  • Support project tracking, MIS updates, and departmental requirements.

6. Stakeholder Coordination

  • Liaise with cross-functional teams to ensure alignment and smooth workflow.
  • Coordinate with vendors, partners, and external agencies when required.
  • Manage confidential and sensitive information with discretion.

7. Task & Project Management

  • Support the VP in monitoring project timelines and deliverables.
  • Follow up with teams to ensure completion of assigned tasks.
  • Assist in preparing reports, dashboards, and presentations.
