ROLES AND RESPONSIBILITIES
1. Executive Support
Manage and maintain the Directors calendar, appointments, and travel arrangements.
Prepare, review, and organize correspondence, reports, presentations, and other documentation.
Handle confidential and sensitive information with discretion.
Prioritize and manage multiple projects simultaneously, following up on outstanding issues and ensuring timely completion.
Support the Director in preparation for meetings, including agenda creation, briefing materials, and minute-taking
2. Communication & Liaison
Serve as the primary point of contact for internal and external stakeholders on behalf of the Director.
Draft and proofread emails, letters, and communication materials.
Coordinate communication flow between the Director and senior leadership, staff, clients, and partners.
Represent the Director professionally in all interactions.
3. Administrative Coordination
Organize and maintain electronic and paper files for the Directors office.
Process expense reports, reimbursements, and budget-related documentation.
Manage scheduling, logistics, and hospitality for meetings, events, and conferences.
Support office and project administration as needed.
Maintain basic accounting and financial records, including petty cash handling, invoice tracking, and coordination with the finance department.
4. Strategic & Operational Support
Assist with research, data analysis, and preparation of strategic briefs or project summaries.
Track project milestones and deliverables relevant to the Director’s portfolio.
Contribute to process improvements and operational efficiency initiatives.
