Job Description

Role & responsibilities

  • A. Strategic & Operational Coordination

1. Act as the central coordination point for all activities routed through the Chairmans office.

2. Plan and manage the Chairmans daily schedule, meetings, appointments, and travel arrangements.

3. Maintain oversight of ongoing projects and follow-ups across all operational sites.

  • B. Meeting Management

4. Schedule, organize, and document meetings with minutes circulated within 2 hours.

5. Track all follow-ups and ensure timely completion of action items.

  • C. Communication & Documentation

6. Draft and finalize correspondence, reports, and presentations with high English diction.

7. Handle confidential documents with discretion and integrity.

  • D. Stakeholder & Site Coordination

8. Liaise with site heads, branch managers, and department heads for information flow.

9. Coordinate performance dashboards and review meetings.

  • E. Technology & Process Efficiency

10. Use Microsoft Office, Google Workspace, and Power BI effectively.

11. Automate trackers, reminders, and follow-up systems for productivity.

  • F. Confidential & Special Projects

12. Assist in confidential presentations, strategic reports, and performance analyses.

13. Support special assignments involving new initiatives or audits.

Preferred candidate profile

The Executive Assistant will act as the strategic right-hand and trusted support to the Chairman of Layam Group, ensuring seamless execution of his day-to-day priorities across 64 sites, multiple business divisions, and corporate functions. The role demands a highly proactive, disciplined, and aggressive professional who can anticipate needs, handle multiple priorities, and coordinate end-to-end activities with confidentiality and precision.

. Qualification & Experience

Graduate or Postgraduate in Business Administration, English Literature, Communication, or related discipline with 510 years in similar roles supporting CXOs or Chairmen. Excellent English communication is mandatory; Tamil or Hindi is an added advantage.
