Job Description

1. Administrative Support

  • Manage the executive’s calendar, schedule meetings, and organize travel.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming and outgoing communications (emails, calls, memos).
  • File and retrieve documents, records, and reports efficiently.

· Manage complex calendar scheduling, meetings,

· travel arrangements for the Executive Director.

· Attend meetings, record MOMs, and ensure timely follow-ups.

· Act as liaison between internal departments and external stakeholders.

· Coordinate logistics for meetings, travel, and special projects.

· Oversee vendor management, procurement, and administrative operations.

· Support budgeting, reporting, and communication flow using Google Sheets and MS Office

· Coordinate internal and external meetings, events, and presentations.

· Handle email correspondence, draft responses, and filter priorities.

· Maintain and organize documents, reports, and confidential files.

· Prepare meeting briefs, minutes, and follow-up action points.

· Liaise with vendors, clients, and internal teams as required.

· Assist with project coordination and ensure timely task completion.

2. Meeting Coordination

  • Organize and coordinate meetings, including logistics (location, video conferencing, agendas).
  • Take accurate meeting minutes and follow up on action items.
  • Prepare briefing materials ahead of meetings and events.

3. Travel & Itinerary Management

  • Plan, book, and manage all aspects of business travel.
  • Prepare travel itineraries, expense reports, and manage reimbursements.

4. Project Management & Support

  • Assist in managing key projects and initiatives on behalf of the executive.
  • Track progress, gather updates, and ensure deadlines are met.

· Support day-to-day business activities and ensure smooth workflow.

· Conduct basic research, prepare summaries, and compile data when needed.

· Track deadlines, follow up on pending tasks, and maintain to-do lists.

· Coordinate logistics for events, travel, and office requirements.

5. Confidentiality & Discretion

  • Handle sensitive information with utmost confidentiality.
  • Act as a gatekeeper for the executive, managing priorities and access.

6. Stakeholder Communication

  • Liaise with internal staff at all levels and external stakeholders.
  • Represent the executive in meetings or events when required.

· Act as a point of contact between the executive and staff/clients.

· Maintain a high level of professionalism, discretion, and confidentiality.

· Build strong working relationships with internal and external stakeholders.

Additional Responsibilities

  • Manage office budgets and track expenses.
  • Coordinate personal tasks or errands for the executive (in some roles).
  • Supervise or guide junior administrative staff.
  • Contribute to strategic planning or decision-making by providing insights and reports.

Key Skills Required

  • Strong organizational and time-management skills.
  • Excellent communication (verbal and written).
  • Proficiency in tools like Microsoft Office, Google Workspace, and project management tools.
  • Ability to multitask and prioritize in a fast-paced environment.
  • High level of professionalism, confidentiality, and discretion.

Job Type: Full-time

Pay: ₹30,000.00 - ₹50,000.00 per month
