Job Description

Role & responsibilities

  • Manage and control all incoming and outgoing documents for Water Services projects.
  • Maintain a structured document control system (electronic and paper-based).
  • Ensure proper document classification, sorting, filing, and archiving in accordance with company procedures.
  • Receive, log, and distribute technical documents such as drawings, blueprints, specifications, RFIs, submittals, and contracts.
  • Coordinate with project teams, subcontractors, engineers, and consultants to ensure document compliance and timely distribution.
  • Regularly update and maintain document registers, logs, and tracking systems.
  • Monitor document revisions and ensure only the latest versions are available and used.
  • Ensure confidentiality and security of sensitive project documents.
  • Assist in audits and provide required documentation on request.
  • Train staff on document control procedures, if required.
  • Prepare progress reports, dashboards, and other planning-related documentation.
  • Ensure compliance with company procedures and industry standards in planning and reporting.
  • Contributing to ensuring a safe working environment for all staff.
  • Maintaining a positive and solution-oriented approach to work, providing open and honest feedback.
  • Being aware of the need to satisfy customer requirements with the aim of enhancing the customers perception and satisfaction.
  • Taking all reasonable steps to ensure appropriate confidentiality.

Attributes

  • Bachelor's degree in construction management, business administration, or related field preferred or any other degree, specialized training, or experience, that makes the individual qualified to perform the job responsibilities.
  • Proven experience minimum 23 years of document control experience in the construction industry.
  • Strong knowledge of document control systems (e.g., Aconex, Procore, SharePoint, ProjectWise etc.).
  • Familiarity with construction processes, terminology, and documentation.
  • Experience working on large-scale commercial or infrastructure projects.
  • Knowledge of ISO standards and quality management systems.
  • Excellent organizational and time-management skills.
  • Attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of delay analysis techniques and risk management is an advantage.
  • Good written and verbal communication skills and able to work as part of a team.
