Job Description

1. Position Overview

Manager / Deputy Manager (Contracts)

end-to-end contract administration

2. Key Responsibilities

A. Tender & Contract Document Review

  • Thoroughly study tender documents, contract conditions, GCC/SCC, BOQ, specifications, drawings, and all commercial clauses.
  • Identify risks, ambiguities, contractual obligations, and prepare

    Contract Risk Assessment

  • Support tendering team with contractual inputs during bidding stage.
  • Evaluate scope gaps, change conditions, and special terms that may impact cost or timelines.

B. Contract Administration

  • Maintain and monitor contractual compliance across all ongoing EPC projects.
  • Draft, review, and issue

    contractual letters, notices, correspondences, MOMs

    , and communication with Client/PMC/TPI.
  • Track contractual obligations such as insurance, bank guarantees, warranties, milestone delivery, and approvals.
  • Support project teams in interpretation of contract provisions and dispute avoidance.

C. Claims, Variations & EOT

  • Prepare and submit

    Claims, Variation Proposals, Change Orders, Extension of Time (EOT) requests

    , and Cost Escalation proposals as per contract conditions.
  • Hands on Framing Extra Works and its approvals
  • Maintain complete documentation, daily records, hindrance logs, site instructions, and supporting evidence.
  • Coordinate with Planning, Billing, Project, and Finance teams for claim substantiation.
  • Ensure timely submission and follow-up of claims as per contractual timelines.

D. Documentation & Record Management

  • Maintain structured databases for contracts, letters, correspondence, approvals, drawings, and claim documentation.
  • Tracking of Client / DSC/PMC/ TPI and preparing compliance reports as well as prompt replies.
  • Escalating the perils in execution / contract management and providing resolutions
  • Prepare MIS reports on contractual risks, pending claims, variations, and contract status.
  • Ensure compliance with internal SOPs for contract and claim management.

E. Coordination & Support

  • Act as a central support for all project sites on contractual matters.
  • Interface with clients, consultants, vendors, and internal teams for contract interpretation.
  • Support senior management in negotiations, arbitration preparation, and legal coordination if required.

3. Qualifications & Skills

Education

  • B.E. / B.Tech (Civil / Electrical / Mechanical) or equivalent.
  • MBA in Contracts/Construction Management or PG Diploma in Contract Management is added advantage. Candidates from NICMAR will be given preference.

Experience

  • 5 12 years

    of experience in Contract & Claims management in

    EPC companies

    (mandatory).
  • Should have worked on contract management for the Projects funded by ADB, World BANK, JICA and other foreign organisations.
  • Experience in Solar / Water / Sewage / Irrigation / Other Infrastructure EPC projects.
  • Strong background in tender review, contract drafting, and claim preparation.

Technical Skills

  • Good understanding of

    FIDIC

    , CPWD, state PWD, and client-specific contract conditions.
  • Expertise in

    claim preparation, EOT, variation orders, delay analysis

    , and contract interpretation.
  • Proficiency in MS Office (Excel, Word), MS Project/Primavera (added advantage).
  • Strong documentation and analytical skills.

  • Excellent communication and drafting skills.
  • Strong negotiation and coordination abilities.
  • Detail-oriented, structured, and deadline-driven.
  • Ability to work independently and support multiple projects.
  • Smart Enough to get the data from sites for contract management

4. Key Performance Indicators (KPIs)

  • Accuracy and completeness of contract review reports.
  • Number and value of claims/variations successfully submitted and approved.
  • Timeliness of contractual communication and issue resolution.
  • Effective documentation and compliance with SOPs.
  • Support to project teams and management satisfaction.
