The Banquet Sales Coordinator is responsible for supporting the sales and event planning process for banquets, meetings, weddings, and other special events. This role includes managing client relationships, coordinating event details, preparing proposals and contracts, and working closely with internal departments to ensure seamless event execution and guest satisfaction. Key Responsibilities: Respond to banquet and event inquiries via phone, email, and in-person meetings. Prepare and send proposals, contracts, and banquet event orders (BEOs). Maintain and update event files, calendars, and sales databases. Coordinate with clients to understand event requirements and provide tailored solutions. Work collaboratively with the kitchen, banquet, AV, and housekeeping teams to ensure all event details are communicated and executed accurately. Assist in site inspections and property tours for prospective clients. Manage and follow up on leads to convert them into confirmed bookings. Track payments, deposits, and follow-up deadlines in coordination with the finance department. Support the Sales Manager in achieving revenue goals and department objectives. Handle administrative duties including scheduling, filing, and report preparation. Attend weekly BEO and operations meetings to review upcoming events. Provide on-site support for events when needed, especially during peak times or large functions. Qualifications: High school diploma or equivalent required; associate’s or bachelor’s degree in hospitality, business, or related field preferred. 1–3 years of experience in hospitality, sales, or event coordination. Strong organizational and time-management skills with attention to detail. Excellent verbal and written communication skills. Proficient in Microsoft Office Suite and event management systems (e.g., Delphi, Opera, Tripleseat). Ability to multitask in a fast-paced environment. Customer service oriented with a professional demeanor. Availability to work flexible hours, including evenings and weekends, as needed.
