1. Event Planning & Coordination:
- Serve as the primary point of contact for clients from the initial booking stage through to post-event follow-up.
- Conduct detailed site tours and consult with clients to understand their vision, budget, and requirements.
- Collaborate with clients and the culinary team to design bespoke menus, beverage packages, and event layouts.
- Prepare, distribute, and manage detailed Banquet Event Orders (BEOs) and function contracts, ensuring all departments (Culinary, F&B Service, Housekeeping, A/V, Security) are aligned.
- Coordinate with external vendors (event management companies, photographers, decorators, DJs, etc.) to ensure seamless integration of services.
2. Operational & Staff Management:
- Lead, train, schedule, and motivate the banquet staff (servers, setup crew) to deliver the highest standard of service.
- Oversee the physical setup of events, including room configuration, table settings, audio-visual equipment, and floral arrangements, ensuring adherence to BEO specifications.
- Manage all on-site event operations, acting as the go-to problem-solver for any issues that arise before, during, or after an event.
- Conduct pre-event briefings with staff to review event details, roles, and service standards.
- Ensure all banquet areas, including the hall and lawn, are maintained to the highest standards of cleanliness and presentation.
3. Financial & Administrative Duties:
- Assist in developing and managing the annual banquet department budget.
- Control event costs, including labour, supplies, and equipment, to maximize profitability without compromising quality.
- Prepare and present accurate event billing and invoices, ensuring all charges are correctly captured and communicated to the accounting department.
- Manage inventory for banquet supplies, including linens, crockery, cutlery, glassware, and small wares.
- Collect and analyse client feedback to continuously improve service quality and event offerings.
4. Sales & Business Development:
- Work closely with the Sales and Marketing team to promote the resort’s banquet facilities and convert leads into confirmed bookings.
- Develop creative event packages and concepts tailored to our target markets of weddings, corporate meetings, and day-outs.
- Build and maintain strong relationships with corporate clients, wedding planners, and local businesses to generate repeat and referral business.
