PMO Associate - Roles & Responsibilities

Responsibilities

PMO Management:

  • Update project performance summaries (e.g., financials, utilization, SLA metrics) regularly.
  • Prepare and maintain weekly

    ad hoc tracking reports

    .
  • Facilitate continuous improvements by leveraging internal assets in collaboration with key stakeholders.
  • Maintain a project document repository with timely updates and version control.
  • Manage PMO processes and tools (e.g., project charter, ticket management system, issue management, communication, reporting, and knowledge management).
  • Track status records, follow-ups, and reports for tickets/requests/risks.
  • Oversee onboarding/offboarding, training, team compliance, and maintain the team roster, including leave/vacation tracking.
  • Track and manage assets (e.g., client laptops/phones).
  • Serve as the

    single point of contact

    for the team on PMO-related queries.
  • Ensure adherence to project processes (e.g., ticket management system updates).
  • Coordinate with stakeholders to renew legal documents and flag upcoming billing milestones, communicating with the

    Program Manager

    proactively.

Team Coordination:

  • Organize monthly offshore team meetings and video conferences between offshore and onshore teams.
  • Manage

    project administration

    tasks such as organizing team events, birthday celebrations, and tracking ME time.
  • Facilitate the induction of new team members by coordinating kickoff meetings and ensuring system access.
  • Support

    Learning & Development (L&ED)

    through training plans and tracking EVOLVE discussions.
  • Coordinate

    knowledge-sharing sessions

    within the team.

Client Coordination:

  • Collaborate with the client's

    admin/support teams

    to set up meetings and seminars.
  • Follow up on PMO tool/process issues that are shared between ZS and the client (e.g., ticket management system).
  • Work directly with the

    clients PMO team

    to update and share performance summaries (financials, utilization, SLA metrics) with key stakeholders.

Qualifications:

  • Graduate with

    2+ years

    of experience in

    Project Management

    .
  • Organized and self-motivated

    professional.
  • Strong knowledge of

    Project Management processes and tools

    .
  • Proficient in

    MS Excel

    , with working knowledge of

    PowerPoint and Word

    .
  • Excellent verbal and written communication skills with a

    professional demeanor

    .
  • Customer-focused

    with strong interpersonal skills.
  • Proactive

    with a high level of initiative.
  • Prior experience in running PMO for

    teams of 20+ people

    (preferred).
  • Effective communication skills to resolve concerns and explain processes clearly.
  • Project Management Certifications

    like CAPM/PMP/Prince2 (preferred but not mandatory).
  • English fluency is required; additional fluency in a

    European or Asian language

    is highly desired.
  • Candidates must possess

    work authorization

    for their intended country of employment.
