Job Description

As an Executive Assistant at American Express, you play a crucial role in supporting the vice president and ensuring operational excellence within the organization. Your responsibilities will include: - **Calendar & Meeting Management:** - Proactively manage executive calendars with attention to detail and confidentiality - Coordinate internal and external meetings, prepare agendas, materials, and follow-up actions - Arrange conference facilities and hospitality services for events - **Executive Support:** - Coordinate senior leadership visits and travel arrangements - Prepare expense reports in compliance with company policies - Act as the primary point of contact between executives and stakeholders - **Financial Administration:** - Reconcile and report departmental corporate card transactions - Assist with budget tracking and financial documentation - **Event Coordination:** - Organize department-wide events from planning to execution - Coordinate with vendors and internal departments for successful event delivery - **Team & Department Support:** - Assist with onboarding and offboarding processes - Maintain organizational charts and contact lists - Prepare professional presentations and manage departmental communication - **Additional Responsibilities:** - Provide ad hoc administrative support - Identify and implement office efficiency enhancements - Represent the department professionally in all interactions **Minimum Qualifications:** - Excellent organizational, administrative, and interpersonal skills - Strong attention to detail and timely follow-up - Effective communication skills and a positive attitude - Ability to handle confidential information with integrity - Proficiency in Microsoft Office and calendar management - Experience in a fast-paced environment and adaptability to changing priorities American Express offers benefits and programs that prioritize the holistic well-being of its employees and their loved ones.
