Job Description: As an Administrative Assistant at the Altera India Site, you will play a crucial role in supporting various administrative functions across the organization. Your responsibilities will include coordinating activities such as events, conferences, and meetings, preparing agendas, managing tactical projects, and handling general administrative tasks like ordering supplies and managing departmental recognition. You will work collaboratively with other Administrative Assistants and Executive Admins to ensure seamless planning and execution. You should have prior administrative experience in a fast-paced, cross-cultural environment and be proficient in using Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). Maintaining strict confidentiality for sensitive business matters and documents will be a key part of your role, along with assisting in new employee onboarding processes. Minimum Qualifications: - Perform various administrative, organizational, financial, operational, and project-related activities to support senior and executive-level staff. - Provide advanced support to senior executives by handling confidential information and offering advanced administrative assistance. - Coordinate phone calls, prepare for meetings, record meeting minutes, and manage calendars, travel arrangements, and expense reporting. - Collect and analyze data for document preparation and collaborate with administrative staff for budget planning and expense control. - Build an administrative community, provide training opportunities, and manage records databases. Preferred Qualifications: - Strong calendar management skills with the ability to handle shifting priorities and deadlines, book travel, and manage expenses. - Ability to assess the importance of meetings, emails, and documents to involve the appropriate parties promptly. - Manage multiple projects simultaneously with accuracy and attention to detail. - Proficiency in Microsoft tools, organizational skills, time management, and multitasking abilities. - Effective communication with internal and external stakeholders, customer service orientation, and the ability to work independently. - Strong verbal and written communication skills.
