Job Description

Location: Mumbai

  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes
  • Manage schedules and deadlines
  • Managing administrative records in the office such as stationery, office hardware, supplies, courier, bill payment, invoice payment, receipts, online purchase record.
  • Monitor and maintain an inventory of office supplies and the purchasing of new material with attention to budgetary constraints
  • Monitor costs and expenses to assist in budget preparation
  • Manage, oversee and supervise facilities services, infrastructure management, utilisation of resources, maintenance activities and staff, housekeeping, security personnel, tradespersons (e.g electricians)
  • Manage, coordinate and carry out repair and maintenance work at different sites.
  • Coordinate for getting quotations from various suppliers for all admin related purchases.
  • Organize and supervise other office activities (recycling, renovations, event planning etc.)
  • Ensure operations adhere to policies and regulations
  • Keep abreast with all organizational changes.
  • Other administrative support like filing, maintaining records, preparing reimbursements, bill payment, statutory payments, raised invoice payment follow ups.
  • To be responsible for all administration services including asset and vehicle management.
  • Responsible for checking the offices assets are in good condition and tagging of the same.
  • Maintenance of AMCs pertaining to office equipment, etc. and ensuring compliance with the device level agreements.
  • Facilitating online and offline meetings, following up for work related to the same, thereafter.
  • Inspection of premises, pest control, overlooking maintenance of the same.
  • Monitor and track for the renewal of any Insurance, license, agreements, registrations/ approvals.
  • Responsible for checking cleanliness of the office.
  • Maintaining good rapport with Management team, officer, staff, subordinate and external vendors.
  • Prepare a presentation for the executive level, and draft responses to various correspondence.
  • Prepare innovative strategies and plans to achieve the target as well as the goals of the organization.
  • Recruit and train personnel and allocate responsibilities and office space.
  • Assess staff performance and provide coaching and guidance to ensure maximum efficiency

Requirements Preferred candidate profile

  • Proven experience as administration officer
  • In-depth understanding of procedures and departmental and legal policies
  • Proficient in MS Office, google docs and google sheets
  • An analytical mind with problem-solving skills
  • Excellent organizational and multitasking abilities
  • A team player with leadership skills
  • BA/BCom in business administration or relative field.
