Position Summary:

The Admin Head will be responsible for overseeing and ensuring the smooth functioning of all administrative operations of the hospital. This includes managing the Engineering, Security, Housekeeping & GDA, Transportation, PR, F&B, Vendor Management, and External Event Management functions. The role demands strong leadership, strategic planning, operational efficiency, and a commitment to maintaining the highest standards of hospital support services.

Key Responsibilities:

Engineering & Maintenance:

  • Oversee preventive and corrective maintenance of hospital infrastructure, medical gas systems, HVAC, electrical, plumbing, and biomedical support facilities.
  • Ensure compliance with NABH and other regulatory standards in facility management.
  • Liaise with external agencies for maintenance contracts (AMC/CMC).
  • Monitor energy conservation and implement cost-effective maintenance practices.

Security Management:

  • Ensure 24x7 security coverage across hospital premises.
  • Supervise and train security personnel for emergency response, access control, and patient/staff safety.
  • Coordinate with local law enforcement when required.
  • Implement and monitor CCTV, fire safety, and visitor management systems.

Housekeeping & GDA Services:

  • Maintain high standards of cleanliness, sanitation, and infection control across all hospital areas.
  • Supervise daily housekeeping schedules and periodic deep cleaning activities.
  • Ensure adequate staffing, training, and rotation of GDAs/housekeeping staff.
  • Coordinate with Infection Control Team to ensure compliance with hospital hygiene standards.

Public Relations & External Event Management:

  • Supervise hospital PR activities, corporate events, and external engagements.
  • Coordinate administrative support for health camps, press meets, and outreach programs.
  • Ensure smooth execution of hospital-hosted conferences, CME programs, and social events.

Transportation:

  • Manage hospital transport fleet including ambulances, staff vehicles, and logistics vehicles.
  • Ensure vehicle upkeep, documentation, fuel usage monitoring, and driver discipline.
  • Plan efficient transport scheduling for patient and employee requirements.

Food & Beverage (F&B) Services:

  • Oversee F&B services for patients and cafeteria operations for staff and visitors.
  • Ensure food quality, hygiene, and adherence to dietician-prescribed menus.
  • Coordinate with nutrition and clinical teams for patient-specific diets.

Vendor Management:

  • Identify, evaluate, and manage vendors for various hospital services and supplies.
  • Maintain documentation and ensure vendor compliance with hospital policies and statutory norms.

Budgeting, Planning & Reporting:

  • Prepare and manage the annual administrative budget and control operational costs.
  • Regularly review departmental KPIs and submit reports to management.
  • Identify process improvement areas and implement best practices for efficiency.

Team Leadership & Development:

  • Lead and motivate a diverse administrative workforce.
  • Conduct periodic training, performance evaluations, and succession planning.
  • Foster a culture of accountability, teamwork, and service excellence.

Qualifications & Experience:

  • Graduate in any discipline;

    MBA in Hospital Administration / Operations Management

    or

    MHA

    preferred.
  • Minimum

    1012 years of experience

    in hospital administration, with at least 5 years in a leadership role.
  • Strong understanding of hospital operations, facility management, and regulatory standards (NABH, Fire Safety, Pollution Control).
  • Excellent leadership, communication, and negotiation skills.
  • Proficiency in MS Office and ERP/hospital management software.
