Job Description

Key Responsibilities

Asset & Facility Management

  • Maintain and update records of company assets (IT equipment, furniture, office supplies, etc.)
  • Monitor asset allocation, usage, and condition across departments
  • Coordinate repairs, maintenance, and replacement of office assets
  • Ensure proper inventory tracking and documentation

Vendor Management

  • Identify, onboard, and manage vendors for office supplies, housekeeping, security, catering, and maintenance
  • Negotiate pricing, contracts, and service-level agreements (SLAs)
  • Monitor vendor performance and ensure timely service delivery
  • Process vendor invoices and coordinate with accounts for payments

Office Administration

  • Manage daily office operations to ensure a smooth and efficient work environment
  • Oversee housekeeping, pantry, security, and facility services
  • Handle procurement of office supplies and ensure cost control
  • Ensure compliance with company policies and administrative procedures

Employee Engagement & Festival Celebrations

  • Plan, organize, and execute festival celebrations and internal events
  • Coordinate with vendors for decorations, gifts, food, and logistics
  • Manage budgets and timelines for events and celebrations
  • Support HR in employee engagement and workplace culture initiatives

Coordination & Reporting

  • Act as a point of contact for administrative queries and requests
  • Prepare MIS reports related to assets, vendors, and admin expenses
  • Support management with administrative data and documentation

Required Skills & Qualifications

  • Bachelors degree in any discipline
  • 1–4 years of experience in Administration / Facilities / Office Management
  • Strong vendor management and negotiation skills
  • Experience in asset management and inventory control
  • Good organizational, coordination, and multitasking abilities
  • Strong communication and interpersonal skills
  • Proficient in MS Excel, Word, and basic documentation tools
