Role Summary As an Administrative Executive , you will play a key role in supporting the smooth and efficient functioning of our administrative operations. From coordinating travel and events to managing documentation and supporting cross-functional teams, you’ll support our day-to-day activities at the head office and sometimes at the hospitals. This job may demand travel to different locations in India. Core ResponsibilitiesTravel Coordination Collaborate with travel agents to arrange flights, trains, accommodation, and local transportation for office employees. Ensure travel bookings are made in a timely, cost-effective manner adhering to internal policies and budget constraints. Administrative Support Provide administrative assistance, including photocopying, scanning, filing, and maintaining records. Support departments in day-to-day operational needs. Event Coordination Assist in organizing internal and external events such as donor hospital visits, training sessions, and office gatherings. Coordinate collaterals required for events and other office-related work, including liaising with vendors, printing, and sample approvals. Provide on-site support to manage logistics, set up, and ensure a smooth experience during events. MOU Management Coordinate the signing and franking of Hospital MoUs in a timely manner. Liaise with nutritionists or designated SPOCs for receiving and dispatching MoUs. Maintain organized records of all Hospital and Donor MoUs. Donor Receipt Coordination Work with finance and fundraising teams to verify and share donation receipts with donors. Manage the Donor Cards Project, including inventory management and coordination of card dispatch on a monthly basis. Collateral Management in Hospitals Manage end-to-end collateral coordination for hospitals, including overseeing design, liaising with on-ground teams for vendor sourcing, and ensuring timely printing and placement. Must-Haves Graduate in any discipline. Minimum 3-4 years of experience in office administration and travel desk management. Proficiency in Google Sheets, computers, and data spreadsheets. Familiarity with travel coordination and booking platforms is an advantage. Strong organizational skills, attention to detail, and the ability to multitask effectively.
