Role Overview:

The Virtual Front Desk Associate serves as the first point of contact for patients, providing remote administrative support to ensure smooth front desk operations. This role is critical in maintaining positive patient experience and supporting healthcare providers with efficient scheduling, communication, and documentation.

Key Responsibilities:

  • Patient Interaction & Communication

    • Answer incoming calls and respond to patient inquiries professionally.
    • Manage email and message triage, ensuring timely responses.
    • Provide virtual waiting room support and communicate delays or instructions.
  • Appointment Management

    • Schedule, reschedule, and confirm patient appointments.
    • Send reminders to minimize no-shows.
    • Coordinate with medical staff for procedure calendars and follow-ups.
  • Medical Records & Intake

    • Update patient information in Electronic Health Records (EHR).
    • Assist with patient intake forms and documentation.
    • Scan, upload, and organize medical documents securely.
  • Insurance & Billing Support

    • Verify insurance eligibility and benefits.
    • Assist with co-pay collection and basic billing inquiries.
  • Administrative Coordination

    • Relay information between departments.
    • Support after-hours coverage and peak-time call handling.
    • Maintain HIPAA compliance in all communications and data handling.

Required Qualifications:

  • 2 -3 years of experience in a front desk or administrative role within US healthcare.
  • Familiarity with Electronic systems, insurance workflows, and patient communication tools.
  • Strong verbal and written communication skills.
  • Ability to work independently and manage multiple tasks efficiently.
  • 2 3 years of experience in a front desk or administrative role withi-n US healthcare.

Preferred Skills:

  • Knowledge of HIPAA regulations and compliance protocols.
