Role & responsibilities

  • Manage daily administrative and clerical tasks to ensure smooth office operations.
  • Maintain schedules, arrange meetings, Hotel bookings and prepare meeting agendas.
  • Coordinate with internal departments and external stakeholders as required.
  • Assist in preparing reports, presentations, and data entry.
  • Handle incoming calls, messages, and visitors professionally.
  • Prepare, edit and distribute memos, reports, presentations, and other documents with accuracy.
  • Manage office supplies, order necessary items, and ensure a well-stocked and equipped work environment with proper approval.
  • Assist with travel arrangements, plan company events, and manage logistical details for conferences and meetings.
  • Facilitate communication between different departments and ensuring effective information flow within the organization.
  • Draft, review, and manage official correspondence, emails, and documents.
  • Organize and maintain office files, records, and databases.
  • Handle sensitive and confidential information with discretion and professionalism.
  • In legal or medical settings, performing specialized tasks like managing legal documents or patient records and processing billing.
  • Needs to be resourceful and use their initiative to solve problems as they arise, from scheduling conflicts to technical issues.
  • Often serving as the first point of contact, a secretary must be friendly and personable to create a welcoming and professional impression.

Preferred candidate profile

  • Minimum 3 years of experience in a similar role (Secretary / Office Administrator).
  • Fluent in English (spoken and written) mandatory.
  • Excellent knowledge of MS Office applications (Word, Excel, PowerPoint, Outlook).
  • Strong internet research and email drafting skills.
  • Highly organized, detail-oriented, and able to multitask.
  • Professional communication and interpersonal skills.
  • Ready to join immediately.
