Job Description

Position Title: Unit Head – Admin

Department:

1. Job Purpose

F&B, Housekeeping, Security, and Maintenance

2. Key Responsibilities (Aligned to KRAs & KPIs)

A. Patient Satisfaction & Experience

1. Overall Experience Score – F&B, Housekeeping, Security, Maintenance

  • Achieve and maintain

    C-Sat > 95%

    across four departments.
  • Ensure patient experience data is captured accurately (Med Blaze or equivalent).
  • Drive monthly patient feedback analysis with minimum

    30% discharged patient sample size

    .
  • Implement corrective actions to improve service experience across all touchpoints.

B. Service Timeliness & Operational Efficiency

1. Cross-Department TAT Compliance

  • Ensure

    95% compliance

    with Turnaround Times (TATs) across all service departments.
  • Monitor and streamline workflow efficiency in F&B, HK, Security & Maintenance.
  • Coordinate with clinical teams to avoid delays in patient care and support services.
  • Conduct daily operational briefings and performance tracking.

C. Quality, Hygiene & Safety Governance

1. Departmental Quality Standards Compliance

  • Ensure 100% adherence to:
    • Food Safety, Tray Standards & Diet Accuracy (F&B)

    • Cleaning Protocols, Infection Control & BMW compliance (HK)

    • Fire & Safety Systems, Emergency Codes (Security)

    • Preventive Maintenance & Equipment Uptime (Maintenance)

  • Zero major NCs in

    NABH / FMS audits

    and closure of minor NCs within

    30 days

    .
  • Conduct regular supervisory rounds and compliance audits across all service areas.
  • Train teams on quality protocols and safety standards.

D. Vendor & Manpower Governance

1. SLA Delivery & Workforce Oversight

  • Ensure

    100% SLA adherence

    across all outsourced vendors (F&B, HK, Security, MEP/Maintenance).
  • Maintain

    100% manpower deployment

    as per sanctioned strength.
  • Monitor productivity, roster management, shift planning, and attendance discipline.
  • Conduct monthly SLA review meetings, highlight gaps, and drive improvement plans.
  • Ensure documentation of vendor performance with scorecards and actionable plans.

E. Statutory, SOP & Documentation Compliance

1. Regulatory & Audit Adherence

  • Ensure

    100% compliance

    with all statutory norms across the administrative unit.
  • Oversee timely submission of:
    • MIS reports
    • AMC logs
    • Temperature logs
    • CCTV audits
    • Monthly compliance scorecards
  • Ensure

    zero open audit points beyond 30 days

    .
  • Prepare for internal/external audits and drive closure of non-conformities.
  • Ensure complete SOP adherence across departments.

F. Cost Control & Resource Optimization

1. Budget Adherence Across F&B, HK, Security & Maintenance

  • Maintain cost budgets for:
    • Outsourced manpower
    • F&B consumption & inventory
    • Maintenance R&M, electricity, fuel
  • Ensure resource optimization without affecting service quality.
  • Monitor consumption patterns, variance, and wastage control.
  • Support procurement efficiency and vendor cost negotiations.

G. Risk, Safety & Crisis Management

1. Operational Safety & Emergency Readiness

  • Ensure zero sentinel events related to facility services, cleaning, food, fire, or security.
  • Conduct

    4 integrated mock drills annually

  • Ensure

    247 readiness

    of:
    • Fire safety systems
    • Emergency response teams
    • Critical equipment uptime
    • Safe patient movement pathways
  • Lead emergency preparedness training and crisis response coordination.

4. Qualifications & Experience

  • Graduate / Postgraduate in Hospital Administration, Business Administration, or related field
  • 8–12 years of experience in hospital/healthcare administration
  • Proven experience managing F&B, HK, Security, and Maintenance operations
  • Strong understanding of NABH, statutory compliance, and facility safety
  • Experience in managing outsourced team performance and vendor governance
