Job Description

Job Summary:

The Transportation Executive is responsible for planning, coordinating, and overseeing all transportation operations, including school buses, company vehicles, and drivers. The role ensures the safe, efficient, and cost-effective movement of students, staff, and goods while maintaining compliance with transport regulations and institutional policies.

Key Responsibilities:

1. Vehicle & Fleet Management

  • Supervise the daily operation of school buses, company cars, and other vehicles.
  • Prepare and maintain vehicle schedules and routes for optimal efficiency.
  • Ensure regular maintenance, servicing, and cleanliness of all vehicles.
  • Maintain vehicle documents such as insurance, fitness certificates, and road permits.
  • Track fuel usage, mileage, and maintenance costs to control expenses.

2. Driver Management

  • Manage driver rosters, attendance, and leave schedules.
  • Conduct regular driver briefings on safety, punctuality, and conduct.
  • Ensure drivers possess valid licenses and adhere to company and government driving regulations.
  • Organize periodic driver training and safety awareness programs.

3. Safety & Compliance

  • Ensure compliance with RTO, transport authority, and safety regulations.
  • Conduct routine checks on vehicle safety equipment (GPS, CCTV, fire extinguishers, first-aid kits, etc.).
  • Investigate and report any accidents, breakdowns, or violations.
  • Maintain student and staff safety protocols during pick-up and drop-off operations.

4. Coordination & Communication

  • Coordinate with schools, departments, parents, and staff regarding transport arrangements.
  • Handle transport-related complaints, requests, or schedule changes efficiently.
  • Collaborate with vendors for outsourced transport or repairs.

5. Reporting & Documentation

  • Maintain daily transport logs, fuel consumption reports, and driver performance records.
  • Generate monthly reports on vehicle usage, costs, and efficiency.
  • Support management in budgeting and planning for future transport needs.

Qualifications & Experience:

  • Bachelor’s Degree in Administration, Logistics, or a related field.
  • 2–5 years of experience in transport or fleet management (preferably in a school or corporate setup).
  • Strong knowledge of vehicle maintenance, RTO regulations, and safety standards.
  • Proficiency in MS Excel and transport management systems.
  • Excellent communication and organizational skills.
  • Ability to handle multiple tasks and respond effectively in emergencies.
