Job Description

1. Tender Management

  • Identify and track relevant tender opportunities from various portals and sources.
  • Review tender documents (RFPs, RFQs, EOIs) and analyze requirements, scope of work, deadlines, and eligibility criteria.
  • Prepare tender checklists and submission plans.
  • Coordinate with internal teams (finance, technical, operations, legal) to gather required data and documents.
  • Prepare technical and financial proposals in the required formats.
  • Ensure timely submission of both online and offline tenders.

2. Documentation & Compliance

  • Draft, format, and proofread tender documentation, including company profiles, proposals, and compliance forms.
  • Ensure all documentation meets legal, organizational, and client specifications.
  • Maintain an updated library of standard documents: company registrations, certifications, licenses, financial statements, product catalogues, and other statutory documents.
  • Ensure all tender documents are properly signed, stamped, and compiled as per tender guidelines.

3. Coordination & Communication

  • Liaise with clients, vendors, and government bodies for clarifications, updates, and follow-ups related to tender processes.
  • Communicate tender requirements and deadlines to internal stakeholders.
  • Attend pre-bid meetings, site visits, and clarification sessions when required.

4. Reporting & Record-Keeping

  • Maintain a tender tracking database with submission timelines, statuses, outcomes, and feedback.
  • Prepare regular reports on tender performance and submission success rates.
  • Archive submitted tenders and ensure proper documentation control per company policies.

5. Process Improvement

  • Review past bids and incorporate feedback to improve proposal quality.
  • Recommend improvements in documentation templates, formats, and processes.
  • Stay updated on tendering regulations, industry standards, and compliance requirements.

Required Skills & Qualifications

Education

  • Bachelors degree in Business Administration, Commerce, Management, Engineering, or related field.

Skills

  • Strong knowledge of tender procedures and documentation processes.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to work under pressure and meet tight deadlines.
  • Proficiency in MS Office (Word, Excel, PowerPoint), PDF editors, and online tender portals.
  • Familiarity with government e-procurement systems (e.g., GeM, e-tender portals) is a plus.

Experience

  • 2-7years experience in tendering, documentation, bids & proposals, or similar roles.
